About the Role
Service Stream's Utilities division are currently seeking a Project Administrator. You will play a key role in maintaining compliance across the program by managing reporting requirements, supporting audit preparation and ensuring training, competency and equipment records remain accurate and up to date. The role also assists with coordinating program‐related functions and events, supports the onboarding of new starters, and provides general administrative assistance to training and communications teams as needed, contributing to a well‐organised and efficient operational environment.
Position Details

* Location: Coburg, VIC
* Reporting Line: Service Delivery Manager
Key Responsibilities
* Maintain audit and compliance schedules for training, licences, inductions, competencies and mandatory refresher requirements
* Coordinate and track test‐and‐tag activities for tools, plant, and electrical equipment, ensuring compliance with safety and regulatory standards
* Maintain registers for tools, equipment, calibration schedules, service records, and asset‐related documentation
* Prepare internal and external reports, including compliance summaries, audit evidence packs, KPI reports, and project documentation
* Support audit readiness by collating evidence, maintaining document control, and ensuring records meet internal and external audit requirements
* Assist with scheduling and coordination of training sessions, contractor inductions, and competency renewals
* Liaise with Supervisors, field teams, and contractors to gather information, close out actions, and ensure compliance tasks are completed on time
* Monitor upcoming compliance deadlines and proactively follow up to ensure timely completion
* Maintain accurate data entry and record‐keeping across systems, registers, and project documentation
* Assist with procurement, tracking, and coordination of tools, equipment, consumables, and calibration services
* Support preparation of project documentation, including work packs, reports, and administrative materials
* Provide general administrative support to project and operations teams, contributing to efficient delivery of maintenance and project works including diary management for Service Delivery Manager
* Coordinate and support the organisation of program‐related functions, events, and activities as required
* Assist with onboarding new starters, including coordinating training, inductions, and supporting training and communications teams
Qualifications & Skills
* 2–3 years' experience in a similar administrative or project support role, ideally within the utilities or construction sector
* Strong compliance mindset with the ability to manage records, track obligations and support audit requirements
* Confident analytical skills, with the ability to interpret data, identify issues and contribute to continuous improvement
* Exceptional organisational and time‐management abilities, with a proven track record of meeting deadlines
* Strong written and verbal communication skills, able to engage effectively across teams
* Ability to multitask and prioritise effectively in a fast‐paced, dynamic environment
* A natural team builder who acts as the "glue" of the team, fostering collaboration, supporting colleagues and helping maintain a positive, safe, inclusive and high‐performing culture
* Maintains a high level of professionalism, discretion, and confidentiality
* Current driver's license
