About the role
We are seeking a highly skilled Executive Assistant to provide strategic executive and business administration support to the Director, Construction Procurement & Emergency Management. This role is temporary for two years and based in Newcastle.
Working Conditions
* 35‐hour base working week
* Flexible start and finish times between 6am and 10pm, with core hours of 10am–3pm
* Flex time allowing additional hours worked to be accrued and taken back as flex leave

Responsibilities
* Deliver high‐quality executive and administrative support, exercising discretion, initiative, and confidentiality to support organizational objectives.
* Prepare and refine key business documents, including minutes, agendas, presentations, correspondence, reports, briefing notes and submissions.
* Manage the Director's time commitments and diary to ensure urgent matters are prioritized and resources are used efficiently.
* Build, maintain, and maximize relationships with staff, clients and stakeholders, and play an active role in developing a positive culture.
* Leverage technology and digital tools to enhance productivity across multiple locations and prepare documentation and presentation material to support the Director and client engagement practices.
* Demonstrate initiative and adaptability, balancing priorities in a rapid‐paced environment with a 'can do' attitude.
* Develop and maintain relationships between the Director's office and key internal and external stakeholders by providing positive and efficient client services.
Qualifications
* Proactive problem solver with exceptional communication skills and meticulous attention to detail.
* Ability to anticipate needs, manage priorities, and streamline executive functions.
* Experience or exposure to the infrastructure projects/programs advisory and delivery sectors and/or working with NSW state government.
* Hold a current NSW Driver Licence and be willing to travel to regional and remote locations, including overnight stays.
Benefits
* Salary: Clerk Grade 5/6, from $99,938 to $110,271 plus super and leave loading.
