We are currently seeking an enthusiastic, self-motivated Office Administrator to join our team to help support a growing civil contracting business on the Gove Peninsular. Duties and Responsibilities
As the Office Administrator, you will provide vital on-site support to ensure smooth operations across Gumatj Civil's ever expanding operations. Your responsibilities may include:
Travel & Logistics
* Coordinate all flight bookings for Gumatj Civil personnel
* Arrange and confirm accommodation for employees
* Ensure travel schedules align with project and roster requirements
Onboarding & Compliance
* Manage site onboarding, inductions, and documentation submissions to the client
* Maintain employee records including licences, tickets, medicals, and clearances
* Ensure all compliance and training requirements are met prior to mobilisation
Administrative & Project Support
* Provide day-to-day administrative support to the Gumatj Civil General Manager and Operations Managers
* Manage document control systems including filing, registers (Assets and others), and correspondence
* Assist with plant and equipment maintenance records and registers
* Oversee timesheet collation
* Prepare reports, meeting minutes, purchase orders, and invoices as required
* Support site-based HSEQ reporting and ensure accurate record keeping
General Office Management
* Maintain office supplies and ensure site office facilities are well organised
* Act as the first point of contact for internal and external stakeholders on site
* Perform additional ad-hoc administrative duties to support Gumatj Civil success
* Exposure to a diverse and collaborative work environment

Minimum requirements for this role include the following:
* Relevant experience in a similar site-based administration role, preferably within the mining or civil construction industries
* Advanced skills Microsoft Office suite
* Strong organisational and scheduling skills with the ability to manage competing priorities
* Strong administration skills
* Must be able to plan and prioritise workloads in an environment of constant change
* Demonstrated ability to work successfully and autonomously within a fast-paced project environment and deliver on deadlines
* Hold proven verbal, written and interpersonal communication skills with an ability to develop and maintain relationships across diverse stakeholders
* Focus and commitment to a zero-harm environment
Pre-Employment Requirements
* Ability to pass a full pre-employment medical (including drug & alcohol screen)
* Federal Police Check clearance
* Proof of Right to Work in Australia
