IBN serves as the Trustee for the Mining Area C (MAC) Agreement between BHP Billiton Pty Ltd and the IBN Claim Group, which includes the Yinhawangka, Banyjima and Nyiyaparli people of the Pilbara. Established in 2001, IBN is a charitable business operated for the advancement and prosperity of these communities. We provide programs and services to raise the personal, social and economic wellbeing of our members and deliver support and programs in health, education, housing, culture, enterprise development and employment.
IBN's offices are located in South Hedland, Tom Price, Karratha and Perth.
The Opportunity
Due to recent internal movement, we have a new Member Services Officer role available in our Perth office. As a Member Services Officer you are responsible for providing administrative support through a variety of tasks to ensure efficient office operations in the Member Services team.
Your role will be the first point of call for all visitors to the organisation and is essential in ensuring quality customer service standards that are responsive to the needs of the Members and the wider community.
Your role also provides support to senior management, staff and supports the overall delivery of the Member Services functions.
The Role
* Provide a welcoming and safe environment for clients and visitors.
* Handle and direct telephone enquiries efficiently and appropriately.
* Assist with Member and staff enquiries.
* Provide an efficient and courteous response to all enquiries in accordance with established procedures to ensure the best quality systems and delivery of services.
* Register community program applications as required.
* Facilitate end‐to‐end support processing of community program applications.
* When practical provide outreach to vulnerable Members in the IBN community for support.
* Ensure effective and efficient administration of IBN records and follow record‐management procedures.
* Accurately record information, manual and electronic documents and databases.
* Assist the Team Lead in the smooth running of the community program's function.
* Provide access to building infrastructure locally for visitors and vendors.
* Provide accurate information to internal and external stakeholders or refer enquiries as necessary.
* At all times perform duties in accordance with organisational policies and standard operating procedures.
* Continuously conduct yourself in accordance with the IBN Code of Conduct, HR policies and Work Health and Safety policies.
* Other duties as directed.
The Requirements
* Excellent written and verbal communication skills, with a keen attention to detail.
* Ability to work independently and collaboratively within a team.
* Adaptable and open to learning new skills and methodologies.
* Proficiency in Microsoft Office Suite (Excel, PowerPoint, Word).
* Experience working with Aboriginal people and understanding Aboriginal Australian culture.
* Experience in the community sector highly regarded.
Qualifications
* Certificate III in Administration or progress towards the same highly regarded.
Appointment Requirements
* National Police Check (no older than 6 months and renewed every 3 years).
* Valid Western Australian Driver's Licence (not Learner's permit).
