About the Role
We're looking for a skilled and proactive Office Manager with a project coordination focus to support the daily operations of our Sunshine Coast office. You'll work closely with the Branch Manager / Principal Engineer, and mentor a junior administrator.
In this role, your responsibilities will include:
Administrative Coordination: Oversee office operations to ensure efficiency, supporting project teams to meet quality assurance (QA) standards.
Project & Business Support: Work with the Branch and Project Managers with project coordinator, invoicing, tender submissions, and business metrics.
Facilities & Office Management: Coordinate facilities support, including office maintenance, equipment repairs and general upkeep.
WHS & QA Compliance: Support the Branch Safety Officer, Branch QA Representative and Branch Training Coordinator in maintaining compliance with WHS and QA procedures and legislative requirements.
Client & Team Engagement: Organise and coordinate client and staff social events and manage travel arrangements for project teams.
Financial Oversight: Manage accounts payable/receivable and assist with monthly reporting, with support from national finance team.
Record Keeping & Project Closures: Maintain filing systems, archiving and project closure documentation.
Team Leadership & Junior Admin Support: Oversee and mentor a junior admin, providing guidance, training and support to ensure effective office operations.
Hours are Monday to Friday, 8:00 am – 4:30 pm, with flexibility when required.
About You
* Experienced: Previous experience in office or project admin, ideally in engineering, consulting or lab testing environments.
* Organised & Efficient: Strong time management with the ability to handle multiple priorities.
* Great Communicator: Clear, professional and confident in both written and verbal communication.
* Supportive Leader: Experience overseeing junior staff or mentoring others is highly desirable.
* Tech-Savvy: Proficient in Microsoft Office (Word, Excel, Outlook, Teams, PowerPoint).
* Proactive & Calm: Able to take initiative, stay composed under pressure and find practical solutions.
* Process-Minded: Able to build structure and systems in a way that supports the team.
* Collaborative: Comfortable working with senior managers while remaining approachable and supportive.
* Flexible & Adaptable: Happy to help wherever needed and open to learning new systems or tasks.
