Your Opportunity
The Administration Assistant (AA) is responsible for coordinating and administering operational projects, governance activities, financial controls, and business improvement initiatives across Cairns Base Operations. The role provides project administration and program coordination support for enterprise and operational initiatives, ensuring effective planning, documentation, reporting, stakeholder engagement, financial oversight, and compliance with organisational governance requirements. Acting as a central coordination point between operational, technical and corporate functions, the position supports the successful delivery of projects and continuous improvement initiatives by maintaining project controls, monitoring progress, facilitating communication, and ensuring accurate and auditable records are maintained.
Your Responsibilities
* Coordinate and administer operational and business improvement projects across Cairns Base Operations.
* Maintain project documentation, action registers, risk registers, schedules, milestones and project records.
* Monitor project progress and support delivery of agreed project objectives, timelines and outcomes.
* Coordinate project meetings, prepare agendas, record actions and track completion of deliverables.
* Support planning, implementation and monitoring of operational, governance and transformation initiatives.
* Facilitate communication and information flow between stakeholders to support project delivery and business objectives.
* Prepare reports and business documentation for management review and decision-making.
* Ensure project records, approvals and supporting documentation are maintained in accordance with operational governance requirements.
* Support audit readiness through accurate record keeping and document control practices.
* Administer Aircraft Maintenance (MRO) and Avionics Aircraft Service Request processes, ensuring compliance, accuracy and timely completion.
* Review and process subcontractor, freight and project-related invoices, ensuring appropriate allocation of costs and compliance with approved procedures.
* Maintain project documentation, audit trails, and implement live tracking systems (e.g., Smartsheets, ERP integration) to provide real‐time visibility of project and operational performance.
* Coordinate activities between operational teams, Finance, Accounts Payable, Credit Control, Procurement, Supply Chain, PMO and external stakeholders.
* Support procurement initiatives through administration of documentation, reporting and process governance activities.
* Assist with implementation of business improvement initiatives aimed at improving operational efficiency, governance and financial performance.
* Support development and maintenance of administrative and project management frameworks, procedures and process documentation.
* Contribute to process improvement initiatives through analysis, documentation and implementation of enhanced administrative and project controls.
* Identify opportunities to improve workflow efficiency, reporting accuracy and governance outcomes.
* Ensure all activities are conducted in accordance with company policies, Local Area Procedures, Quality, WHS and Environmental Management Systems.
* Represent Jet Aviation as one company internally and externally with industry groups, regulatory bodies and the General Dynamics network.
* Undertake reasonable duties as assigned by the Line manager which are appropriate for the qualification and skill level.

* Demonstrated experience in project administration, business administration or operational coordination within a complex business environment.
* Experience coordinating multiple activities, stakeholders, priorities and deadlines.
* Strong organisational, planning and documentation skills.
* Experience maintaining project documentation, registers, reports and governance records.
* Well‐developed stakeholder engagement and communication skills.
* Ability to analyse information and prepare reports for management decision making.
* Experience working with ERP systems and Microsoft Office applications, including Excel.
* Understanding of governance, compliance and continuous improvement principles.
* Ability to work collaboratively across multiple operational and corporate functions.
* Experience supporting financial administration and reporting activities.
