The key duties of the position include:
The AIHW are seeking executive assistants and administration officers to support Senior Executives Service (SES) staff and the institute’s operations more broadly. We are seeking enthusiastic, self-driven and proactive individuals who have exceptional organisational and communication skills and the ability to establish and maintain key relationships with a range of internal and external stakeholders.
We have a couple of executive assistant vacancies who directly support one or two SES officers, while other supporting their broader work area in administration and coordination tasks. Additionally, we potentially have some administration officer vacancies who work within our business areas, often corporate and project functions, to perform administrative and coordination duties. We also intend to create a merit pool to consider in filling future EA and administration vacancies.
Under general direction you may be asked to undertake the following tasks:
* Manage aspects of your SES’s and/or team’s work schedule, calendar and emails by providing high-level inbox management and support to assist them with managing competing priorities.
* Monitor and manage emails (potentially including SES and group mailboxes) and calls by triaging matters requiring action, approval, and review.
* Creating a welcoming ‘front door’ for all inquiries and coordinate responses as required.
* Undertake administrative tasks such as organise travel arrangements, financial reconciliation of credit cards, invoice acquittals and support procurement activities.
* Undertake secretariat duties including scheduling meetings, taking minutes and preparing meeting papers, reports, briefs and other relevant documentation for various committees and forums.
* Liaise with internal and external stakeholders on behalf of your SES and/or the wider work area.
* Work collaboratively with other executive assistants and the broader AIHW business areas.
* Strive for continuous improvement of the SES’ office or work area performance by using efficient and practical administration processes and systems.
* Assist in the smooth running of the organisation’s work and businesses processes, such as supporting teams, arrange for appropriate clearances, and quality assurance of work.
* Assist with recruitment activities, onboarding new starters to the AIHW and exit procedures for departing staff.
Eligibility

A probationary period of six (6) months will apply to any new engagement to the APS.
