Safety Bay Settlements is looking for a high‐performing, switched‐on EA/Admin/Conveyancing Assistant to support our team across day‐to‐day operations and broader business projects. As a long‐established family firm with a reputation for professionalism and innovation, we lead from the front when it comes to technology, digital systems and client service.
We're looking for someone who:
* Embraces new tools like AI to stay ahead of the game
* Knows their way around Canva, social platforms and cloud‐based systems
* Enjoys improving systems & processes and finding more efficient ways to work
* Has a natural flair for words, visuals and professional communication
* Is proactive, tech‐savvy, and thinks two or three steps ahead
* Wants to be involved in a future‐focused team that values initiative, innovation and being a bit different
Key Responsibilities
* Executive assistance to the Directors & team (calendar, inbox, task tracking)
* Client‐facing admin including reception, phones and email follow‐ups
* Conveyancing support (experience helpful, but we also value general property knowledge)
* Maintain tools like DocuSign templates
* Help optimise systems, SOPs and digital workflows across the business
* Create content and schedule posts across Instagram, Facebook and LinkedIn
* Write and design polished branded comms using Canva
* Support broader business projects in marketing, automation and client experience
Tech and Systems You'll Use (or Learn Quickly)
* DocuSign, PEXA, Landgate, Revenue WA, Microsoft 365
* Realtime Conveyancer, Go High Level CRM, SharePoint, Forms
* ChatGPT, Canva, Google Drive, Social Media Platforms including Business Manager
* WIX Website platform (editing and updating pages, forms, content etc)
* Plus any other tools or improvements you can bring to the table
Will Shine If You Have...
* A sharp eye for detail and a high standard of accuracy
* Strong computer skills across a range of modern platforms
* Confidence learning and applying new technology
* Excellent written and verbal communication
* Social media know‐how (reels, captions, content planning, brand voice)
* Canva skills and a good sense of clean, professional design
* Intermediate level proficiency in Canva for professional design work
* Demonstrated ability to create designs that adhere to established brand guidelines
* Experience using Wix (editing & updating website)
* Experience in real estate, settlements, finance or legal admin
* Minimum of 3+ years experience in real estate, settlements, finance, or legal administration
* Conveyancing experience is a bonus, but not essential
* Great time management and the ability to juggle a few things at once
Working Hours
* Part‐time: 25‐30 hours per week
* Flexible across 4 or 5 weekdays
* Potential to grow into a full‐time position over time
