About the Role

SJ Traffic Management is seeking an experienced and motivated Operations Coordinator to join our growing Bunbury team on a permanent, full-time basis.

Reporting to the Operations Manager, you will be the operational hub of our Bunbury depot — coordinating crew scheduling, managing bookings end-to-end, supporting morning dispatch, and being a reliable point of contact for our crew leaders and traffic controllers in the field.

This is a role for someone who genuinely enjoys the complexity of coordinating people, equipment, and compliance in a fast-moving environment. If you take pride in keeping things organised, communicating clearly, and following through on the details that matter, this role will suit you well.

Is This Role Right for You?

This is an early start role — most days begin at 5am in line with our operational schedule.

You will be managing crew allocations, Traffio bookings, timesheet sign-off, pre-booking compliance checks, and last-minute operational changes — often all before 9am. The ability to stay calm, stay organised, and prioritise effectively is genuinely important.

There is also a meaningful administrative component to this role. A significant part of your day will involve working accurately inside Traffio, Asana, and other operational platforms — maintaining records, completing multi-stage booking checks, and keeping registers current. We need someone who approaches that work with the same care they bring to everything else.

Key Responsibilities Scheduling & Dispatch
* Draft and manage the weekly operations schedule, including crew allocations, vehicle assignments, and equipment
* Enter and maintain bookings, purchase orders, and job details in Traffio and Asana
* Complete pre-booking checks at 7 days, 3 days, and 1 business day prior to all bookings in line with SJTM's Sales and Booking Procedure
* Facilitate morning dispatch and manage last-minute operational changes, escalating to the Operations Manager as required
* Coordinate on-call and standby allocations including weekly availability forms
Compliance & Records
* Review and sign off timesheets daily by 9am, cross-checking against Daily Diaries and Traffio
* Maintain the TMP Register and ensure all field documentation is current, valid, and accessible to crews
* Conduct monthly depot inspections and complete regular site audits/ inspections
* Manage monthly stock takes of traffic resources, keys, and fuel cards
People & Fleet
* Be a reliable first point of contact for crew leaders and traffic controllers, providing real-time operational support
* Report workforce attendance issues, injuries, and near misses to HR and HSEQ same day
* Coordinate vehicle maintenance schedules, manage fault reporting, and action GPS and dash cam alerts
* Support employee onboarding, offboarding, and PPE management as required
Depot & Administration
* Manage Bunbury depot traffic resource levels, including sourcing quotes, coordinating approvals, and overseeing deliveries
* Liaise with clients professionally and represent SJTM at meetings as required
What You Will Bring
* Demonstrated experience in an operations coordination, scheduling, or logistics role — ideally in traffic management, civil construction, or a similarly regulated environment
* Confidence working in Traffio or equivalent operational scheduling platforms
* Strong administrative accuracy — you understand that data quality directly affects safety, billing, and payroll outcomes
* Clear and professional communication skills, with the ability to manage crews, clients, and internal stakeholders effectively
* A calm, organised approach to competing priorities in a high-volume environment
* WA Driver's Licence (C Class minimum)
* Valid Australian work rights and ability to pass pre-employment screening including a criminal record check
Highly Regarded
* Experience in the traffic management or road construction industry
* Traffic Controller or traffic management qualifications (WA)
* Familiarity with Asana, Xero, or similar business platforms
