The Opportunity
We are seeking a proactive assistant commercial property manager who is driven and equipped with a motivated attitude to achieve success and driven to progress their career in Melbourne's dynamic privately held commercial real estate sector.
In this role, you will work collaboratively with our property management team supporting the day‑to‑day management of a rapidly growing portfolio, across a range of assets.
Key Responsibilities
* Lease administration under the instruction of the Head of Department.
* Onboarding new properties under management including reviewing of lease information/document checklists, contacting authorities, and liaising with new tenants.
* Assistance with lease renewals and market rent reviews.
* Liaising with contractors including obtaining quotes, processing work orders, and checking on completed work as directed and guided by the Head of Department.
* Assistance with rental and outgoings collections and arrears management as directed and guided by the Head of Department.
* Preparation of and issuing of template letters to tenants and landlords.
* ESM and OH&S report coordination and management.
* Maintenance of compliance registers, as well as liaising with tenants regarding updates.
* Reviewing and auditing lease documentation.
* Assisting the property management team with preparation of pitch documents and submissions for new business as well as preparation of management authorities.
* Assisting the property management team with all administrative aspects of the running of the department which may including organising and arranging files, taking minutes of meetings and collating information and documents.
* Client reporting and responding to requests for information.
* Responding to tenant enquiries and requests.
* Issuing documents for signing via post or Docusign.
* Assisting trust accountant with entering of invoices where required.
Requirements
* Previous experience/exposure in residential or commercial property management (highly desirable)
* Exceptional time management, communication, and interpersonal skills
* Ability to work independently and as part of a team.
* Proactive and detail‑oriented individual.
* Proficiency in Microsoft Office Suite.
