Reports to: EGM - People
We're looking for someone who thrives on making sure things happen, someone who can keep a complex function moving, hold people to their commitments, and bring calm, capable support to a busy executive and a driven team.
The Opportunity
This is a role for someone who finds real satisfaction in coordination done well. You'll work directly with our Executive General Manager – People across two core areas: keeping HR projects and initiatives on track, and providing reliable EA support that gives the EGM the time and space to focus on what matters most.
You will be instrumental in making sure projects and administration processes get executed. That means tracking deliverables, chasing stakeholders, scheduling across time zones, preparing materials, and running our people and culture events from start to finish.

What You'll Spend Your Time On
Project Coordination
* Track HR project timelines and hold stakeholders to their deliverables
* Flag risks and delays to the EGM – People early
* Collate data from regional sources for Board and Executive reporting
* Coordinate People team meetings, agendas, minutes, and actions
* Support policy and compliance documentation schedules
EA Support
* Manage a complex calendar — protecting time for focused work
* Schedule 1:1s with global direct reports across time zones
* Triage communications; respond independently where appropriate
* Prepare briefing packs, presentations, and reports
* Coordinate travel, itineraries, and expense management
* Liaise with Executive Assistants across the business
Events
* Plan and deliver the full People events calendar: Inductions, End of Year BBQ, Global Town Halls, Service Awards, and more
* Coordinate the annual End of Year Hamper programme
* Manage logistics: venues, catering, AV, comms, and attendance
* Manage event budgets and vendor relationships
Administration
* Process and code invoices under the GL People Code
* Maintain vendor relationships for the People team
* Continuously improve admin processes within the function
* Assist with People team onboarding and offboarding
What We're Looking For
You'll bring
* 3–5+ years in a coordination or EA role, ideally in a People or HR function
* Proven ability to track projects and hold stakeholders to deadlines
* Experience managing a senior leader's diary across time zones
* Strong written and verbal communication skills
* Advanced MS Office, Outlook, PowerPoint, and Excel
* Absolute discretion and confidentiality with sensitive information
* Ability to build trust across levels, cultures, and geographies
