Are you an experienced administrator with strong organisational skills and a passion for supporting operational excellence? We’re looking for a proactive and detail-oriented Work Coordinator/Admin to join our facility management team.
In this pivotal role, you’ll provide high-level administrative support across a busy facilities contract, ensuring all processes run smoothly and efficiently. You’ll work closely with internal teams, contractors, and clients to manage documentation, track work dockets, and coordinate day-to-day service delivery.
Key Responsibilities
- Administer and maintain contract documentation, service records, and compliance reports
- Process, review, and reconcile work dockets and job sheets for accuracy and completion
- Liaise with internal and external stakeholders, including contractors, clients, and operational teams
- Coordinate work orders, purchase orders, and invoicing support
- Assist with scheduling, reporting, and maintaining accurate databases and registers
- Provide administrative support to ensure contract KPIs and SLAs are met
Skills and Experience
- Previous experience in Works Coordination/ Contract administration or facility management (highly regarded)
- Strong administrative and organisational skills with a keen eye for detail
- Proficient in Microsoft Office and facility management systems (e.g., SAP, FMClarity, or similar)
- Excellent communication and stakeholder management abilities
- Ability to work autonomously in a fast-paced, service-driven environment
- Strong problem-solving and multitasking skills
