Role Description

We're looking for a part-time French-speaking Travel Support Coordinator with a passion for travel and a highly organised, detail-driven approach to work, including excellent time-management skills to join our team. You will play a key role in assisting our Travel Designers with the smooth creation and delivery of tailor-made itineraries for Australia and New Zealand. You'll help ensure every detail runs seamlessly, from booking confirmations to supplier coordination, and contribute to offering our travellers an exceptional experience from start to finish.

Main duties & Responsibilities

Travel Coordination

* Manage new enquiries and create leads in the CRM.
* Book accommodation, transport, tours, and activities, following up with suppliers until all arrangements are confirmed.
* Coordinate with the accounting team to ensure timely payment of invoices.
* Prepare detailed client roadbooks with vouchers, booking information, and insider tips.

Document & Database Management

* Organise and maintain travel records, invoices, and other relevant documents.
* Update internal processes, best practices, and itinerary content in the CRM or itinerary builder.
* Maintain accurate client and supplier databases with the most current information.

Communication & Collaboration

* Liaise with Travel Designers to finalise travel arrangements with excellence.
* Manage the main agency inbox, respond to emails, and share urgent updates with the team.
* Share supplier updates to maintain a consistent level of knowledge across the team.
* Maintain professional communication with suppliers.

Knowledge & Training

* Keep up-to-date with products, suppliers, and internal processes to better support the team.

Risk & Compliance

* Anticipate and resolve travel-related issues to ensure smooth client experiences.
* Ensure all travel arrangements comply with company policies, regulations, and legal requirements.

Skills & Experience

* Strong organisational skills with the ability to manage multiple tasks, prioritise effectively, and maintain accuracy.
* Excellent verbal and written communication in French and English.
* Strong communication skills to efficiently share information within a fully remote team.
* Meticulous attention to detail and ability to anticipate and resolve issues proactively.
* Adaptable and able to thrive in a fast-paced, dynamic environment.
* Professional and courteous in interactions with colleagues, clients, and suppliers.
* Ideally proficient with Google Workspace. Experience with CRM software and online itinerary-creation tools is a plus.
* Minimum 2 years in a similar role or industry, preferably with customer service experience.
* Travel experience in Australia, New Zealand, and ideally Fiji

This is a hybrid role and can be based in either Sydney or Mullumbimby.
