Specialist Surgical Secretary - Oculoplastics
South Street Eye Clinic is seeking an experienced surgical secretary to provide dedicated administrative support to a specialist oculoplastics practice.
This is a high‐trust specialist secretarial role, not a general front‐desk reception position. The role supports a surgical subspecialty practice where accuracy, follow‐through, patient communication, theatre coordination, billing knowledge, and mature judgment are essential.
The oculoplastics practice includes specialist care relating to the eyelids, tear drainage system, orbit, surrounding facial structures, and related reconstructive, functional, and cosmetic procedures. The successful candidate will help coordinate the administrative pathway around consultations, surgery, post‐operative care, documentation, billing, and patient communication.
Key Responsibilities
* Providing dedicated secretarial and administrative support to the practice's oculoplastics surgeon.
* Coordinating theatre bookings and surgery‐related administration.
* Liaising with hospitals, theatre booking teams, anaesthetists, patients, and clinic staff.
* Preparing and tracking surgical paperwork, consent documents, quotes, admission information, and related correspondence.
* Coordinating post‐operative appointments, follow‐up tasks, and patient instructions.
* Managing complex billing administration involving Medicare, private health insurance, DVA and self‐funded patients where relevant.
* Working with multiple surgical item numbers, gap/payment scenarios, and insurer or hospital requirements.
* Maintaining accurate records and correspondence in practice systems.
* Communicating clearly and calmly with patients, many of whom may be elderly, anxious, visually impaired, or managing a surgical pathway.
Qualifications
* Experience supporting a surgeon, surgical specialist, or surgical subspecialty practice.
* Strong organisation and follow‐through across complex administrative workflows.
* Confidence communicating with patients, hospitals, anaesthetists, insurers, and clinical teams.
* Careful attention to detail in bookings, billing, documentation, and follow‐up.
* Mature judgement when handling confidential patient information and competing priorities.
* A calm, professional communication style.
* Willingness to learn the specific requirements of ophthalmology and oculoplastics over time.
* Experience with Genie practice management software (desirable).
Ophthalmology or oculoplastics experience would be highly regarded, but it is not mandatory. The role expects a realistic learning curve of three to six months to acquire surgeon‐specific preferences, clinic workflows, billing arrangements, and oculoplastics terminology.
This role will suit a capable surgical secretary who wants to build deep expertise in a defined specialist practice and provide reliable support to a subspecialist surgeon and her patients.
