Overview
There is an exciting opportunity with the Asset Operations team for a Depot Administration Officer. The purpose of this position is to provide administrative support to the Depot Supervisors. Assist with the preparation of correspondence, reports and reconciliation of timesheets as required. Serve as first point of contact for customer enquiries, providing reception duties for the depot, including telephone and counter enquiries and directing enquires to relevant areas as and when required.
Responsibilities
* Provide confidential administrative support to Managers and Supervisors.
* Prepare and format reports, agendas, correspondence, meeting minutes and notes.
* Enter and maintain staff timesheets, fuel usage and equipment hours.
* Prepare and manage project and private works documentation in a timely manner in consultation with relevant Managers and Supervisors.
* Conduct research and compile information as requested.
* Manage reception duties including responding to phone and counter enquiries and utilise the internal request management system.
* Maintain accurate and up-to-date administrative records.
* Collect, update, and report daily statistical data for major projects and programs.
* Process purchase orders in line with purchasing policies.
* Process utility invoices and track usage in spreadsheets.
* Assist with grant administration, including progressing payments and acquittals.
* Support fleet administration as required.
* Assist with store duties as needed.
* Ensure stationery and kitchen supplies are stocked.
* Provide administrative support to other teams or locations as needed, including during staff leave periods.
* Undertake other duties across the Shire as required.
* Complete all required training for the role.
About you
* Certificate IV in Business Administration or equivalent and/or extensive experience in an administration role.
* Well-developed verbal and written communication skills including letter writing and report writing skills.
* Ability to work within a team environment and ability to work with minimal supervision.
* Demonstrated time management and organisation skills.
* Competent in the use of Microsoft Office suite especially Excel and Word.
* Demonstrated accurate record keeping and reporting skills.
* Good public relations, negotiation and conflict resolution skills.
* Ability to deal with information in a confidential manner.
Salary
Salary: $73,600 per annum
