About the Position
The Australian Research Council (ARC) is seeking a versatile and organised professional to provide
administrative and coordination support to 6 Academic Directors.
The role supports the effective
delivery of the Academic Director's functions to ensure the ARC's approach to research funding,
evaluation and policy matters are aligned with the research system. This includes maintaining
excellent working relationships internally and externally, and acts as a key liaison point between
Academic Directors, senior ARC staff and other internal and external stakeholders. The role requires
strong organisational skills, sound judgement and the ability to manage competing priorities in a
professional and collaborative environment.
Duties and Tasks
As the Academic Director Coordinator, you will:
* Provide excellent executive assistant support to 6 Academic Directors, including diary and inbox management.
* Act as the key liaison point between Academic Directors, senior ARC staff and other internal and external stakeholders.
* Manage correspondence, enquiries and follow‐up actions to support the Academic Directors to deliver tasks and meet deadlines.
* Prepare and quality assure a range of high-quality written content such as agendas, minutes, emails, letters, meeting briefs and presentations.
* Provide high level secretariat and administrative support to committees, workshops and meetings led by the Academic Directors.
* Organise travel and prepare travel itineraries, including acquitting expenses for the Academic Directors.
* Contribute to a collaborative administrative support team with the other EAs and EO in the ARC, noting this role reports to the Executive Officer to the ARC's CEO and Deputy CEO.
Required Skills and Knowledge
* Excellent organisational skills, with the ability to work under pressure and to meet competing priorities with autonomy.
* Highly developed administration skills, high level attention to detail and skilled in the use of MS Office.
* Extensive communication and liaison skills, with the ability to build and maintain productive working relationships with a broad cross section of stakeholders, including in the university sector.
* Initiative in researching, analysing, planning and reviewing tasks is vital in assessing the activities critical to meeting the needs of the Academic Directors.
* Ability to exercise judgment, work with discretion and maintain confidentiality.
* Proven time management skills, ensuring all tasks are undertaken and delivered at a high standard and on time.
Our Ideal Candidate
You will have proven experience as an Administrative Coordinator and/or Executive Assistant to Senior Executive staff in an APS environment or equivalent. Highly developed coordination skills, diary and email management is imperative. You are highly reliable and dedicated to ensuring your Academic Directors run on time and all deliverables are met.
You play an important representative role on behalf of your Academic Directors. You are first point of contact for the Academic Directors and pride yourself on your professionalism as well as being personable to all stakeholders, including ARC and APS staff and people from academia.
You will be a self-starter who can be entrusted to use good judgement in organising the Academic Directors' workload and escalating issues. You are resilient to change and can cope effectively in high pressure situations to fulfil the expectations of the role.
About Our Team
Academic Directors are part of the ARC's senior leadership team. They bring their inter-disciplinary,
sector and research administration and management expertise to provide high-level advice that
supports program delivery, policy development and implementation, and other strategic and
operational priorities. You will work alongside the Academic Directors' and within the ARC to drive
agendas set by the ARC Board and CEO.
You will also be an important member of the ARC's Executive support team which includes the
Executive Officer and Executive Assistant to the CEO and Deputy CEO, and Executive Assistants
supporting the Branch Managers.
