We are seeking an ongoing full-time Executive Assistant to join our team of Executive Assistants within our Office of the Managing Director Division.

The Opportunity
You will primarily be responsible for providing efficient, professional and confidential executive support to members of the Executive Management Team (EMT).
We're seeking a proactive and collaborative team player who thrives in a fast-paced environment. The ideal candidate will take ownership of coordinating a high volume of reports on behalf of their Executive Manager, ensuring accuracy and consistency. This role involves working closely with a variety of stakeholders, so strong communication and organisational skills are essential. Your ability to manage competing priorities while maintaining attention to detail will be highly valued.
We're also looking for someone who is dedicated and committed, with a strong work ethic and a willingness to go the extra mile. Your reliability and ability to stay focused under pressure will make you a valuable part of our team.
You will also work centrally with other members of the Executive Support team to ensure a collaborative and coordinated approach is taken across all support activities provided to Executive and Group Leadership roles.
In this role you will report to the Executive Assistant to the Managing Director, with all day-to-day operational management to be directly performed by the Executive Manager(s) of the business areas that the role supports.
What you'll do:
* Provide confidential, effective and efficient executive support to the relevant Executive/s;
* The ability to be adaptable to achieving different Executive priorities and workflows as needed;
* Timely preparation and coordination of internal and external corporate documents and correspondence, including Board and other Committees;
* Review enquiries and requests from internal and external stakeholders, and proactively determine and take appropriate action, bringing to the attention of the Executive Manager/s as appropriate;
* Liaise with key stakeholders (internal and external) of the Executive Manager/s to ensure timeframes and deliverables are clear, allow adequate time for Executive review, and escalate exceptions to the Executive Manager/s as required;
* Coordinate the daily operations of the Executive Manager/s by regularly reviewing email and calendar requirements, identifying potential issues that may impact the activities of the Executive Manager/s, and bringing urgent matters to the attention of the Executive Manager/s;
* Lead, support and / or participate in ongoing collaboration and development activities amongst the entire Executive Support group at Hunter Water;
What you'll need to be successful:
Essential Criteria:
* Demonstrated experience in providing high level executive support in a professional and confidential manner, including the ability to establish work priorities and meet predetermined deadlines and commitments.
* High level communication skills with experience in liaising with internal and external stakeholders and senior executives, coupled with the ability to exercise initiative, discretion and maintain a high level of confidentiality.
* Proven experience in Board and committee paper preparation.
* Proven experience in organising and maintaining relevant documentation for meetings with experience in providing executive support to committees (including drafting minutes and recording meeting outcomes).
* Effective utilisation of computer applications and databases to accomplish tasks, with high level computing skills in Microsoft Outlook, Word, Excel, Teams and PowerPoint.
* Strong attention to detail and the ability to maintain a flexible and resourceful approach to effectively multi-task and manage workload.
* A problem solver, willing to take initiative and proactively support the objectives and demands of the Executive Manager/s and the organisation.
Desirable Criteria:
* Qualifications in Business, Business Administration, or equivalent.
* High level administrative experience in an operational and/or regulated environment, in a medium to large sized business.
* Experience utilising Content Manager (formerly TRIM) and Diligent Boards.
