PRIMARY PURPOSE OF POSITION The Executive Operations Coordinator provides high-level administrative, operational, and strategic support to OCG’s executive leadership, primarily the CEO. This role ensures the smooth and efficient functioning of the office, supports executive decision‑making, oversees administrative processes, and upholds organisational standards of professionalism, confidentiality, and service. The position requires exceptional organisation, communication, administrative skills and problem‑solving skills, with the ability to balance strategic priorities and operational needs in a dynamic environment. KEY RESPONSIBILITIES Key Responsibilities: Executive Support Provide comprehensive executive support to the CEO and senior leaders, including diary management, scheduling, travel coordination, and correspondence. Prepare briefings, reports, presentations, and meeting materials as required. Manage incoming communication and prioritise executive responses. Assist with board or committee coordination, including agenda preparation, minute-taking, and document distribution. Office Management Oversee day‑to‑day office operations to ensure an efficient, professional, and safe workspace. Manage office supplies, equipment, facilities, and maintenance requests. Liaise with external vendors, service providers, and contractors. Develop and maintain office policies, procedures, and administrative systems. People & Culture Support Coordinate onboarding and induction for new employees. Maintain employee records and support HR compliance processes. Assist with organising staff events, training sessions, or team engagement initiatives. Financial & Operational Administration Assist with budget tracking, invoice processing, and expense management. Support procurement activities and maintain accurate records. Coordinate travel, accommodation, and event management within budget and policy requirements. Governance & Compliance Maintain confidential records and uphold information security standards. Support compliance activities, including documentation, reporting, and policy updates. Assist with internal audits, operational review processes, or regulatory documentation as required. Project and Event Coordination Support organisational projects, ensuring timelines, deliverables, and communication are aligned. Coordinate internal and external events, workshops, and stakeholder meetings. Provide logistics, planning, and execution support for strategic initiatives. AP CAPABILITY GUIDE Qualifications and Experience Minimum 3–5 years’ experience in executive support, office management, or similar administrative leadership role. Experience supporting senior executives or C-suite leaders preferred. Familiarity with corporate governance, HR administration, or compliance processes is advantageous. Relevant qualifications in business administration, management, or related discipline desirable. Technical Skills Strong proficiency in Microsoft 365 (Outlook, Teams, Word, Excel, PowerPoint, SharePoint). Highly proficieny in Xero Experience with office management systems and administrative software. Ability to draft professional correspondence, reports, and documentation.
