We are currently looking for a Contracts Administrator to join our team!

Key Responsibilities and Involvements

You will be an organised and proactive person to support our rental, plant and operations teams. This role is critical to ensuring contracts, compliance, invoicing and equipment administration are completed accurately and efficiently across the business.

Working closely with Operations Managers, workshop teams and accounts, you will play a key role in keeping projects and equipment moving while maintaining high levels of customer service and compliance.

* Create, manage and finalise rental and equipment contracts
* Follow up clients for executed contracts and insurance documentation
* Process PPSR registrations and discharges
* Manage client insurance certificates and annual renewals
* Coordinate equipment on-hire and off-hire inspections
* Prepare and process monthly rental invoicing and billing cycles
* Assist Accounts with invoicing amendments and charge approvals
* Maintain customer master data, sites and maintenance contacts
* Process credit applications for new clients
* Coordinate Western Power and Horizon Power height permit administration
* Maintain Main Roads accreditation and fleet servicing records
* Ensure vehicle registrations and inspections are current
* Prepare weekly stock and revenue reports for management
* Update quote pipelines and contract compliance spreadsheets
* Assist with end-of-month meter readings and servicing records

Skills & Experience

* Previous experience in contracts administration, rental administration or a similar role
* Strong organisational skills with high attention to detail
* Ability to manage multiple tasks and deadlines
* Experience with invoicing, compliance and contract documentation
* Strong communication and customer service skills
* Intermediate to advanced Microsoft Office skills, particularly Excel
* Ability to work independently and within a fast-paced team environment
* Experience in the hire, transport, construction or plant industry highly regarded
