Are you looking for a stable, long-term role within a practice that prioritises compassionate client care? At ASK Psychology, our mission is to deliver accessible, high-quality psychological support.

Towards this, we are currently seeking someone with the maturity, availability, flexibility, and previous experience in a fast-paced busy practice, to ensure the smooth flow of our clinic's daily operations and client experience.

We require someone 2 days per week, Mondays & Fridays (9:00 am – 4:30 pm).

The Role: High Volume Coordination

This position requires a high degree of professional stamina. You will be responsible for maintaining the operational rhythm of a clinic supporting 6–7 psychologists.

Your Key Responsibilities
* Clinical Coordination: Managing the complex schedules of our practitioners and acting as the primary point of contact for client queries.
* Systems Management: Executing GP Mental Health Systems with precision (Medicare codes, processing claims, and managing referrals).
* Client Experience: Responding to a high volume of client queries via emails and phone calls with empathy, ensuring every client feels valued from their first point of contact.
* Operational Excellence: Managing client records with absolute confidentiality, processing payments, managing busy bookings, and maintaining up-to-date paperwork.
* Creating a safe and welcoming experience for everyone who walks through our doors.
What You Will Bring
* Proven Experience: Minimum 1-2 years in managing busy admin environments and developing effective systems. Prior experience in a Healthcare or Psychology setting highly desirable, particularly familiarity with Halaxy software system and Medicare billing.
* Autonomous Front-Desk Management: Capable of multi-tasking & managing the front desk independently, navigating client interactions, resolving queries, and maintaining daily systems.
* Composed & Effective: Ability to stay calm, organised, and complete tasks even when the clinic gets fast-paced.
* Professional Communication: Clear, professional verbal and written communication.
* Tech Savvy: Ability to solve software or administrative glitches with initiative. Familiarity with Apple/Mac computers.
* Reliability & Flexibility: Availability 2 days per week, Mondays & Fridays (9:00 am – 4:30 pm), with capacity and flexibility to take on additional hours to cover leave or busy periods (No weekends required).
* Commitment to Long term Growth: Potential for additional hours and progression towards the role of Practice Manager.
* Local Focus: Preferably residing in a suburb close to Fremantle to ensure an easy and reliable commute.
* Current or Willing-to-Obtain Working with Children Check.
