We are a well-established legal firm, seeking an experienced Receptionist and Administration Assistant to join our small team on a full-time basis, Monday to Friday 8:30am to 5:00pm.
You will be the face of our firm, welcoming our clients and ensuring our front office and board room are kept clean and tidy. Providing administrative assistance to our team will also form part of your role.
What you'll be doing
* Welcoming clients in a professional manner, in person and telephonically;
* Diary management and scheduling appointments, handling incoming calls and correspondence;
* General Administration duties such as electronic filing, maintaining client records, copying, archiving, safe custody etc;
* Assisting with legal tasks including opening and assisting with files, collation, preparation and forwarding of client documents via mail, email and DocuSign;
* Managing reception area and general housekeeping;
* Back up for collection of incoming mail, postage of outgoing mail and banking when required.
What we're looking for
* Proven experience as a receptionist, secretary or in a similar administrative role, ideally within a professional service (minimum 1 year experience) (legal environment would be advantageous but not essential);
* Sound computer skills and experience with Microsoft Office suite. Experience with DocuSign and Leap Legal Software would be advantageous;
* Positive work ethic, strong organisational skills, attention to detail with good written and verbal communication skills;
* Ability to handle multiple tasks efficiently and prioritise responsibilities while working as part of team;
* Professional presentation;
Salary will commensurate with experience.
