Event Coordinator Role
The Event Coordinator is responsible for overseeing the planning and execution of events, exhibitions, and conferences.
* Create and manage event project timelines to ensure timely completion and alert teams to approaching deadlines.
* Oversee the completion of on-site documents, including site checklists and running sheets.
* Work closely with operations to deliver events, assist with venue selection, ordering furniture, catering, and AV equipment, and develop run sheets.
* Manage meeting room bookings, including catering and AV requirements.
* Implement and monitor coordinator processes and procedures, communicating changes to the team.
* Manage travel and accommodation bookings for staff assisting at events.
* Create and manage online exhibitor manuals, drafting communication about approaching deadlines.
* Draft exhibitor communication, including welcome letters and deadline information.
* Produce detailed itineraries for guest speakers, including travel, accommodation, and visas (where required).
