About the Role
Employment Type: Permanent
Attendance: Full Time - 38 hours per week
As Program Assistant, you will provide client‐facing administrative and operational support. Your day will involve:
* Responding to program‐specific enquiries and assisting clients to complete applications, assessments and forms.
* Providing support to program initiatives, projects and community activities.
* Performing front desk reception duties, including greeting visitors and answering incoming telephone calls.
* Scheduling appointments, meetings and teleconferences, providing secretarial support, and coordinating meeting requirements (catering, equipment and document preparation).
* Monitoring the office shared inbox and incoming and outgoing mail.
* Monitoring office supplies, amenities and processing supplier invoices, supporting accounts payable functions and managing petty cash.
Skills & Experience
* Certificate III in Business Administration or previous relevant experience.
* Demonstrated experience in an administration role and providing support to management positions within a complex organisation.
* Able to manage competing priorities and to deliver high‐quality outcomes within agreed timeframes.
* Experience assisting clients/customers with complex needs.
* Exceptional verbal and written communication, interpersonal and customer service skills.
* Ability to manage sensitive information and maintain a high degree of confidentiality.
* Proficient in the use of Microsoft office applications.
* Successful candidates will be required to clear probity checks, including a National Criminal History Record Check and any relevant state‐based checks.
