NorthTech is seeking an Operations Administrator to assist with day-to-day operations in our dynamic Darwin-based maintenance and fabrication business, this is a local Darwin position.
In this role you will play an important part in supporting our operations team, you will handle key operational admin tasks, including maintaining company and client documentation, coordinating schedules and mobilisations across the NT, and supporting resource allocation. You will prepare reports, budgets, and procurement requirements, ensuring everything stays organised and up to date. Acting as the link between our operations team and clients, you will help keep things running smoothly while ensuring compliance with company and client standards through strong attention to detail.

Key Responsibilities (include but not limited to):
* Coordinate end-to-end compliance and mobilisations across multiple projects & shutdowns including pre-employment medicals, training and inductions
* Book flights, travel and accommodation
* Escalating compliance gaps, delays or risks to leadership team and assisting with solutions
* Ensure employee compliance records, including certificates, licences, tickets, medicals, training records and inductions are maintained
* Monitor expiry dates and proactively coordinating renewals for employee compliance documentation
* Maintaining accurate compliance registers and ensuring records are complete, current and audit-ready
* Assist with freight logistics, including incoming and outgoing goods, materials and products
* Review, verify and file material certificates and quality records
* Assist Operations Manager with ITP and MDR indexes/templates, creating documents ready to distribute to clients
* Maintaining timesheets
* Assist with budgeting and cost control within your area of responsibility
* Raising purchase order requisitions as required
* Maintain strong working relationships with clients and internal teams
* Identify and support continuous improvement initiatives
* General administration support to the Leadership Team
Skills & Experience Essential Requirements
* Current Driver's Licence
* Experience in fast-paced roles with organisation and planning skills with attention to detail
* Strong IT literacy, with the ability to pick up new systems quickly
* Proactive and confident in internal discussions, making and receiving calls
* Problem-solving abilities and the capacity to manage multiple priorities
* Buoyancy and resilience — staying positive and composed under pressure
* Experience in Engineering, Mining or Construction Industries (or similar) – desirable
* Certificate III Business Administration (or similar) – desirable
