Executive Officer
University of Technology Sydney is looking for an Executive Officer to provide high-level executive support, project management, reporting, and selective governance support to the Pro Vice-Chancellor (Indigenous Leadership and Engagement).
About the Team
The Office of the Pro Vice-Chancellor (Indigenous Leadership and Engagement) (PVC (ILE)) is a key member of UTS's senior leadership team and also serves as the Executive Director for the Jumbunna Institute for Indigenous Education and Research.
About the Role
The Executive Officer will advise the PVC (ILE) and the Director, Strategy and Operations on critical and emerging issues, new initiatives, and policy or regulatory matters, make recommendations, and lead implementation of plans.
The role also entails operational and administrative management of the Office of the PVC (ILE), including supervising the executive assistant.
Responsibilities
Provide high-level, proactive executive support to the PVC (ILE), managing complex correspondence and preparing high-quality documentation such as briefings, speech notes, submissions, position papers and presentations for University Council, University Leadership Team, other senior leaders and external organisations.
Supervise and provide daily direction to the Executive Assistant to the PVC (ILE), guiding priority management, undertaking annual work planning and performance management.
Provide strategic support and project management of projects and initiatives directed by the Director, Strategy and Operations and the PVC (ILE).
Undertake internal strategic reporting to UTS committees and external reporting to the Federal Government, Universities Australia and other bodies on Indigenous education, research and employment outcomes.
Assist the PVC (ILE) and Director, Strategy and Operations with drafting and editing complex documents such as business cases and proposals.
Provide secretariat support to Office of PVC (ILE) committees and working groups, including preparing agendas, collating meeting papers, taking minutes, maintaining the actions list and liaising with stakeholders to ensure completion of action items.
Assist the Director, Strategy and Operations with ensuring smooth management of the Office's operations and resources, including compliance with UTS policies and procedures.
Qualifications and Experience
Highly skilled professional with a strong record of achievement in providing executive support, strategic project management and governance, ideally within the university sector.
Demonstrated tact, diplomacy and interpersonal skills, with a proven ability to build relationships and engage with stakeholders at all levels.
Excellent oral and written communication skills, capable of drafting complex correspondence, reports and other documents with precision and clarity.
Strong strategic planning skills and capacity for systematic and analytical thinking.
Excellent time-management skills and the ability to respond to changing priorities and manage competing demands.
Ability to develop an understanding of Indigenous cultural protocols and engage with staff in a respectful, collegiate and thoughtful manner, recognising priorities based on Indigenous values and processes to ensure a culture of safety in the professional context.
Salary and Benefits
Base salary range: $138,882 to $145,495 per annum (HEW 9).
This role includes 17% superannuation in addition to the base salary.
