Job Description
Home Migration Services Full Time Personal Assistant Role: To provide high quality executive personal assistance and administrative support to the Company Director in all operational and strategic activities.
Responsibilities
* Manage the Director's diary, appointments, meetings, and travel arrangements (domestic and international) to ensure effective scheduling and coordination of business activities.
* Screen incoming telephone calls, emails, correspondence, and enquiries, and respond or redirect matters as appropriate on behalf of the Director.
* Research, compile, and prepare reports, briefing notes, presentations, correspondence, and other business documents to support management decision‐making.
* Prepare, format, proofread, and maintain confidential business correspondence, reports, and executive documentation.
* Coordinate meetings, conferences, and business functions, including preparing agendas, organising meeting materials, and arranging logistics.
* Attend meetings as secretary, record accurate minutes, and distribute outcomes and action items within required timeframes.
* Maintain confidential files, records, and document management systems to ensure secure storage of business information.
* Process and prioritise incoming and outgoing correspondence and documentation, ensuring urgent matters are brought to the Director's attention.
* Liaise with internal staff, clients, suppliers, government authorities, and other stakeholders on matters relating to the organisation's operations and activities.
* Monitor follow-up actions from meetings and management instructions to ensure deadlines and business requirements are met.
* Assist in the preparation and coordination of business reports, presentations, and administrative documentation required by the Director.
* Provide high‐level secretarial and administrative support to facilitate the efficient operation of the business and achievement of organisational objectives.
Skills and Experience
* Diploma or Advanced Diploma with 3 years mandatory work experience in a similar position (3 years of experience in the absence of formal qualification).
* High level of planning and organisation skills.
* Excellent administration skills, typing and software skills.
* Ability to maintain strict confidentiality and a high level of professionalism.
* Strong command of interpersonal and oral communication.
* Good organisational and time management skills.
* Ability to effectively supervise other staff if necessary.

Atlas Motors is a Western Australian automotive dealership based in Maddington, specialising in the retail sale of quality used vehicles and providing vehicle finance, trade‐in, and after‐sales support services to customers throughout the Perth metropolitan area.
