About the Role
We are now seeking a highly organised and proactive Executive Assistant to support our Director / Real Estate Agent in a dynamic, fast-paced real estate environment. This role is central to ensuring the Director's time is effectively managed, client relationships are nurtured, and business operations run smoothly. The successful candidate will act as a trusted partner, handling both executive-level administration and real estate–specific tasks with discretion and professionalism.
Key Responsibilities
Executive Support
➢ Manage the Director's diary, appointments, travel, and scheduling.
➢ Prepare reports, presentations, and documents as required.
➢ Ensure director's are well prepared for meetings and client interactions.
Real Estate Administration
➢ Draft, proof, and manage sales documentation.
➢ Liaise with solicitors, conveyancers, valuers, clients, and colleagues to progress transactions.
➢ Manage compliance documentation, contracts, and listing agreements.
➢ Support property marketing activities including photography bookings, advertising schedules, and online listing management.
Client Liaison
➢ Act as a first point of contact for clients, ensuring excellent customer service.
➢ Follow up with buyers, vendors, and landlords to maintain strong relationships.
➢ Assist in managing databases and client communication systems.
Business Operations
➢ Coordinate team meetings, agendas, and follow-up actions.
➢ Assist with recruitment, onboarding, and HR administration as required.
➢ Monitor KPIs, track business performance metrics, and support growth initiatives.

Qualifications & Experience
➢ Previous experience in an Executive Assistant or high-level administrative role (real estate or professional services preferred).
➢ Minimum of less than 1 year of Executive Assistant experience is required.
➢ Current Real Estate Certificate of Registration (or willingness to obtain).
➢ Real Estate Certificate of Registration can be obtained after hiring.
➢ Proficiency in Microsoft Office Suite and CRM systems.
➢ Familiarity with real estate legislation and compliance requirements is advantageous.
