Wild Heart Therapy is a boutique mental health practice with a big heart. We combine trauma-informed, evidence-based therapy with a holistic, client-centred approach — and we're expanding.
Our practice shares a warm, collaborative office space with Untangled Therapy & Training, creating a connected and supportive environment for both clients and clinicians. This administration role will provide support across both practices, offering variety, meaningful connection, and the opportunity to grow alongside two values‐driven businesses.
We're looking for an Administrative Assistant who can keep the office humming, ensure clients feel genuinely welcomed and supported, and bring calm organisation to a busy therapy space. This role suits someone who thrives on initiative, attention to detail, and exceptional client care. The right person will be professional, warm, highly organised, and naturally skilled at helping people feel at ease from the moment they walk through the door.
Key Responsibilities
* Diary & Appointment Management: Schedule and manage client appointments efficiently, ensuring smooth day‐to‐day operations.
* Client Liaison: Be the first point of contact for clients, providing professional, friendly, and supportive communication.
* Payments & Medicare: Process client payments and manage Medicare rebates accurately and promptly.
* Practice Support & Reporting: Assist with general administrative tasks, reporting, and other office duties to keep the practice running smoothly.
About you
* You take initiative, anticipate needs, and can work independently.
* You're professional, friendly, and client‐focused – client service is everything.
* Strong organisational and time‐management skills.
* Experience in a similar role within the health space is highly valued.
* Experience with Medicare, mental health systems and Allied Health software is a bonus, but not essential.
* You care about being part of a small team where fit and energy matter.

* Casual position, approx. 10–20 hours per week.
* Hourly rate: TBD.
