About the Role
We're looking for a friendly, detail-oriented Accounts & General Administration Officer to join our team. Based at our Gnangara head office, you'll take ownership of accounts payable and payroll while working alongside our admin team to support our FIFO operations — planning and coordinating schedules, liaising with clients and tenants, and helping our team operate safely and in line with WHS and environmental compliance requirements.
This role would suit an organised, detail-oriented person who enjoys variety. Full in-house training is provided.
Key Responsibilities
Scheduling & Coordination
* Manage and coordinate FIFO schedules to ensure smooth day-to-day operations
* Liaise with clients and tenants, responding to enquiries and keeping everyone informed
* Book accommodation and travel through our portal based on scheduled works and swing dates
* Respond to emergency works and client demands with practical, timely solutions
* Support the broader team with general administrative duties
Accounts & Payroll
* Code invoices to the correct general ledger accounts, cost centres, and job/project numbers
* Prepare and process weekly and ad hoc payment runs (EFT, BPAY, cheque) within agreed payment terms
* Reconcile supplier statements monthly, investigate variances, and respond to supplier queries promptly
* Set up and maintain accurate supplier records, including bank details and ABN verification
* Manage company credit card transactions, reconciliations, and supporting documentation
* Maintain the accounts payable inbox and ensure invoices are filed and recorded correctly
* Process end-to-end payroll (weekly/fortnightly) accurately and on time
* Calculate wages, overtime, allowances, penalty rates, leave, and termination payments in line with the relevant Award and employment contracts
* Maintain employee payroll records, including new starters, terminations, banking, tax file declarations, and superannuation details
* Process and remit superannuation contributions and PAYG withholding by statutory deadlines
About You
* Experience in planning and scheduling — ideally within the residential trade, construction, mining, or remediation industries — and/or demonstrated experience in accounts payable/receivable and payroll processing
* Strong administrative background with confident use of Microsoft Office
* Excellent phone manner and professional communication skills
* Outstanding time management and organisational skills
* A friendly, outgoing nature and a genuine team-player attitude
* Current WA driver's licence
Desirable
* Experience within the resources, mining, or FIFO sector
* White Card (Construction Induction)
* First Aid certification
* Experience with scheduling software and job management systems
