Why This Role Matters
You will become a trusted operational partner to the CEO. Your job is to create structure, drive accountability, ensure critical activities happen on time and build systems that allow the business to scale. You will take operational burden off the leadership team so they can focus on clients and growth, and keep the organisation efficient, compliant and well organised.
What You Will Own
Finance Operations
* Invoicing oversight, financial reporting and liaison with the accountant
* Cashflow visibility and monthly management reporting
* Management of the finance operation team
Human Resources Administration
* Oversight of the onboarding, offboarding, contracts, probation reviews and employee documentation
* Leave administration and coordination for the organisation
Corporate Services and Compliance
* Insurance renewals and broker relationships
* Corporate registrations, licences, memberships and compliance obligations
* Supplier, vendor and service-provider management
Technology and Systems
* Coordination of external IT providers and technology systems
* Operational reporting, dashboards, business administration processes and continuous improvement
What Success Looks Like After 12 Months
* At least 98% of invoices are issued on time and monthly reporting is delivered by the 10th business day
* HR administration runs smoothly, with onboarding, offboarding, probation reviews and contract changes completed on time
* Zero insurance, licence, membership or compliance deadlines have been missed
* External suppliers and IT providers are proactively managed, with critical issues resolved promptly
* The Finance Operations Coordinator is performing successfully against agreed goals
* The CEO is no longer involved in routine HR, finance, insurance or IT administration
* Corporate systems are scalable and fit for growth
About You
* You are highly organised, commercially aware and execution-focused. You enjoy creating order from complexity, have excellent follow‐through and take pride in getting important things done accurately and on time.
* Experience in business management, operations, corporate services, practice management or administration leadership
* Strong financial literacy and confidence working with financial reports
* Experience managing HR administration and employee lifecycle processes
* Experience working with external vendors and professional service providers
* Excellent organisational and communication skills
* Ability to work independently and take ownership of outcomes
* Professional services, healthcare, biotechnology or consulting experience will be highly regarded
