Operations Management Role
Job Description:
The Operations Manager will report to the Director of a boutique law firm and be responsible for managing the administration team, workflow, and quality control. Key responsibilities include maintaining the safe custody facility, leave rostering, workflow management, and liaison with suppliers.
Duties include:
* Workflow management for the administration team
* Maintaining the safe custody facility
* Leave rostering and workflow recording
* Liaison with suppliers and negotiating arrangements
* Spot checking for quality control
* Leases, licensing, practicing certificates, and insurances
* Regional visit program rostering
* Recruitment (of non-lawyer team members)
* Retention
* Performance and Salary Reviews
* Lawyer budget meetings (fortnightly)
* Lawyer bonus communication, calculation, monitoring
* KPI management
* Team building
* On boarding/off boarding
* Developing checklists & keeping HR manual updated
* Attending lawyer weekly meetings & implementing key outcomes
* Behaviour monitoring & disciplinary issues (including performance management if required)
* Meetings with senior management to discuss key trends (fortnightly)
* Liaison with IT provider
* Client & Safe Custody client complaints
* Monitor and assist with obtaining Google reviews
* Encourage and coordinate lawyers contribution of articles on social media platforms; and Firm's website
* LinkedIn/Facebook posts
* Website updates (liaison with our web developer)
* Referral reports
* Assisting with preparation of marketing material (PowerPoint, brochures etc...)
* Assistance with implementation of bigger projects that happen from time to time.
* Creating and updating forms / templates / documents under supervision
* Liaise with Divisional Head, General Manager and Finance Manager around compliance issues
The successful candidate will have a minimum of 4 years Operations Management or Practice Management experience, with Law Firm experience being essential. Strong organizational skills, attention to detail, and excellent communication skills are required.
Benefits:
This role offers a salary between $120,000 - $140,000 plus Super, dependent upon experience. A performance bonus is also available.
Work Environment:
This is a professional and corporate environment with a total staff of 24. The working hours are either 4 or 5 days a week, with flexibility in hours.
