Executive Assistant - Infrastructure
This is a part-time, temporary position.
The role plays a crucial part in providing high-level executive support to the Director and Infrastructure Leadership Team.
* Manage the Director's calendar, schedule meetings, and coordinate appointments.
* Prepare and proofread correspondence, reports, and presentations.
* Organise and prioritise incoming emails, phone calls, and other communication.
* Schedule, organise, and facilitate meetings, including preparing agendas and taking minutes.
* Ensure follow-up actions are completed and track progress on decisions made during meetings.
* Prepare, format, and distribute various documents and reports as required by the Director.
* Maintain and organise departmental files and records, ensuring accuracy and confidentiality.
* Serve as a liaison between the Director and internal/external stakeholders.
* Coordinate and manage interactions with Councillors.
* Handle travel arrangements and accommodation bookings for the Director.
* Manage departmental supplies and equipment, ensuring they are stocked and functional.
* Handle sensitive and confidential information with utmost discretion and professionalism.
