An enthusiastic Facilities Coordinator/Administrator, you will report to the Head of Facilities and play a key role in the provision of property maintenance administration services over this unique portfolio.
Working as a part of a small, dynamic team, your main responsibility will be to support the team. You will manage meeting room bookings, access controls, order supplies and deal with any other ad-hoc requests. You will organise access for trades and contractors, allocate access passes and keys for internal staff, help with fleet coordination, parking, assist with mailroom, ordering supplies and dealing with any other ad-hoc requests. You will manage a high volume of maintenance requests and be the first point of contact for facilities and building issues.
Your tasks will include:
Taking calls from clients, ascertaining needs and log issues
Distributing work orders and managing maintenance requests using myBuildings
Visiting different campuses, help out and allow trades to access
Raising purchase orders, data entry, photocopying, printing etc.
Support and coordinate the compliance calendar
Assisting the team in general
You will have:
At least 2 years of experience in a Facilities role
Ideally exposure to CMMS systems
Initiative to get the job done
Ability to build relationships
Confidence and resilience
Well-developed computer & admin skills, spreadsheets and Microsoft Office
To be successful, you will be well presented, possess excellent communication skills and have the ability to process high volumes of requests quickly and accurately. You will be extremely proactive, a team player with a hands-on approach and have a commitment to getting the job done.
This role will be an agency contract initially for 6 months and paid on an agency basis circa $*****/hr plus super. There is a possibility of a permanent, salaried engagement pendent on performance following this initial contract.
