The Opportunity
We are seeking a highly organised Coordinator, Essential Services to support the Director and broader Essential Services team. This role is central to ensuring the smooth coordination of administrative, operational, and systems functions across the division, with a strong focus on accuracy, responsiveness, and attention to detail.
Key Responsibilities
* Provide high-level administrative support to the Director including diary management, emails, and scheduling.
* Maintain and manage key operational systems and portals (e.g. Fleet management, field systems, communication tools).
* Prepare and raise purchase orders and support procurement processes.
* Manage Essential Services contact lists and distribution updates.
* Coordinate insurance claims and liaise with head office for incidents, repairs, and asset-related claims.
* Support general administrative tasks as required by management.
* Coordinate monthly Essential Services runs, including scheduling and logistics.
* Ensure technicians are equipped with required parts and consumables for field operations.
* Assist in managing stock levels and supply requirements across communities.
* Work with contracts and billing teams to support cost-effective procurement and supply arrangements.
* Support the ongoing use and maintenance of operational systems and tools.
* Assist with training field staff in systems such as Field Insight and MYOB.
* Liaise with ICT teams to resolve system and technical issues impacting operations.
* Manage day-to-day office operations including supplies, scheduling, and equipment maintenance.
* Log and coordinate building maintenance and contractor activity.
* Oversee consumable ordering and general office requirements.
About You
You are a highly organised and proactive professional with strong administrative and coordination experience. You thrive in fast-paced environments, can manage multiple priorities, and take ownership of tasks from start to finish.
Your background and capabilities will include:
* 3–7 years' experience in operations support, coordination, or senior administration roles.
* Strong organisational and multitasking skills with high attention to detail.
* Excellent communication and interpersonal abilities.
* Strong problem-solving skills with the ability to work autonomously.
* Proficiency in Microsoft Office and operational systems (Excel, Word, and similar platforms).
* Ability to adapt and work effectively across diverse and remote operational environments.
