Seneco Group is a growing Western Australian professional services group operating across Wealth Management, Tax & Accounting, Finance, and Legal.
We provide integrated advice to clients across WA and are scaling our operations, systems, and team. To support this growth, we are seeking an experienced Receptionist / Customer Services Officer to join our Port Hedland operations.
The Role
The Receptionist / Customer Services Officer is responsible for providing administrative and client support within a financial planning business, with a strong focus on superannuation, personal insurance, and client service delivery.
This role acts as a key point of contact for clients, superannuation funds, insurers, and financial advisers to ensure efficient processing of client requests, accurate record keeping, and high-quality client experiences.
Key Responsibilities Client Reception & Liaison
* Welcome clients in person and by phone with a professional and friendly manner.
* Manage appointment bookings and cancellations.
* Provide clear and accurate information regarding services, required documentation, and next steps.
Appointment Coordination
* Monitor booking schedules to maximize daily utilization.
* Ensure 85% of tax returns booked are completed on the day of the appointment.
* Follow up on outstanding WIP to ensure 90% is resolved within 7 days.
* Liaise with accountants and tax staff to maintain visibility across daily workflows.
Administrative & Billing Support
* Process payments and manage POS and EFT transactions.
* Monitor bad debt reports and support collection efforts to minimize overdue balances.
* Keep accurate client records and digital files.
Outbound Scheduling
* Complete 40–50 outbound calls per week to clients for directed scheduling and engagement.
* Support seasonal campaigns (e.g., tax time, BAS deadlines) through call lists and reminders.
* Track outcomes in digital systems.
About You
You are experienced in customer services delivery and have a desire to be part of a strong team.
You will bring:
Essential
* Strong customer service and communication skills.
* Demonstrated administrative or reception experience.
* Proficiency with Microsoft 365 suite.
* Confident phone manner and time management skills.
Desirable
* Experience in an accounting or professional services environment.
* Familiarity with Xero Practice Manager or similar practice software.
* Cash handling or invoicing experience.
