The Opportunity
SWEK is seeking Expressions of Interest for an Administration Officer responsible for providing high quality, customer focused, efficient administrative and support services to the Director Planning and Community Development and the Directorate's work area to achieve its business objectives.
Your Responsibilities
* Providing high quality administrative support to the Director Planning and Community Development and the Directorate's areas of responsibility including Regulatory Services (Building, Environmental Health, Planning), Community Development, Recreation and Leisure and Integrated Planning and Reporting.
* Management, coordination, preparation, and quality of all incoming and outgoing communications and correspondence including management of the department inboxes.
* Assist in the preparation of documents including Agendas, Minutes and Action Registers according to policies and procedures.
* Coordination of diary and email management including record keeping.
* Facilitate arrangement of regular meetings within the directorate and a‐hoc meetings as required, including maintenance of relevant action registers.
* Assist with developing, implementing and maintaining the Directorate team processes and procedures as required.
* Provision of administrative support for the purpose of managing the Directorate's compliance functions, including monitoring workflows, statutory and management reporting requirements.
* Processing of invoices, including coordination of the Director's monthly credit card expenses.
* Assisting with front line customer enquiries (counter and telephone) for the Directorate including the dissemination of relevant information.
* Assist with maintaining department registers, Synergy modules and review of Policies and Organisational Directives as required.
* Provision of required documentation to the Valuer General's Office.
* Assisting in the preparation of information to incorporate into annual reports, monthly Council Reports and other reports as required.
* Travel between town sites within the Shire boundaries.
* Work outside of normal business hours on occasions and as required and directed by the Director Planning and Community Development.
* Ensuring that records are retained in accordance with the State Records Act 2000, and that there is appropriate security around all electronic and paper‐based records through effective management of access controls, storage and security privileges.
* Ensuring compliance with all relevant legislation, standards and regulations to minimise risk and enhance the Shire's brand reputation.
* Demonstrating the highest standards of honesty and integrity and carrying out duties in accordance with the Shire's Code of Conduct, policies, organisation directives and procedures.
