This Fixed-Term Office Manager role is responsible for overseeing the daily administrative, financial, and compliance functions of the business and supports the General Manager in day-to-day operations. This role ensures smooth and effective operation of all office systems and processes. Leads the Administrative team to meet deadlines across accounts, health and safety, payroll and reporting requirements.
Key responsibilities
Supervise daily office operations and lead the administrative team to ensure established, efficient workflows and adherence to company procedures.
Manage office systems, task coordination, and reporting deadlines. Some system tools are: SimPRO, Shared Calendars, SalesForce, Hazardco, BrightSafe, BrightHR and Motion.
Oversee payroll (Smartly, Xero, EmploymentHero) accounts payable, creditor reconciliations, GL coding, banking processes (ADO) with across board accuracy and professionalism.
Coordinate Health & Safety Administration supervising compliance documentation, audits are kept up to date, daily, weekly and to monthly deadlines are met and sub-contractor scheduling.
Support accurate systems and IT use across departments while driving with General Manager, internal IT license management, monitoring IP security and department management, continuous improvement and operational efficiency.
About you and what you bring
Proven experience of 3+ years in an Office Manager or Senior Administration Supervisor role, showing ability to lead teams and for maintaining efficient office operations.
Strong organisational, communication, and time management skills with the ability to coordinate workflows, manage competing priorities, and meet deadlines.
Experience in Payroll, accounts payable, creditor reconciliations and financial administration with a high level of accuracy, professionalism and confidentiality.
Sound knowledge of business systems including Office 365, Xero, SimPro and related platforms, and Health & Safety compliance processes.
Proactive and solutions-focused with the ability to support operational efficiency, system improvements, and effective interdepartmental discretional coordination alongside management.
