Key Responsibilities
Sales: Following up all sales leads on time and according to the agreed protocol. Immediate acknowledgment of queries and leads as they come in. Providing same‐day responses for simple jobs and within two (2) days for detailed/difficult jobs. Refer to Production/MD/RGM as required. Completing all Xero sales follow‐ups within the quarterly month out of previous year date. Inputting all sales jobs and details into Workflow Max correctly, including accurate costings and follow through to WIP for product ordering etc. Providing sales support for the management of all contracted clients, including clubs and associations. Liaising with suppliers for sales quotes, always seeking best price, value and deadline with production. Manage sales schedule and in conjunction with production department maintain internal sales database for customer communication including Google review for each client etc. Ensure repeat sales are followed up with protocol of email, phone call and final email – record contact in workflow correctly. Ensure leads are actioned as per above. Responsible for systems including Xero and workflow admin to maximise efficiency and sales.
Office and product Admin: Responsible for showroom and office state always updating window display and ensuring client areas are inviting and maximise stock display. Ordering stock as required and fulfilment for orders and signing off invoice with RGM. As required, organising local and interstate freight for client delivery in an accurate and timely manner. Liaising with clients for design presentations and maintaining the internal sales database. Creating marketing ideas including print ads, event promotions, weekly posts to social media and website. Scheduling and conducting monthly website health checks including pricing and online performance.
Key Performance Indicators (KPIs)
* Lead Follow‐Up: 100% of sales leads to be followed up within 24 hours of receipt.
* Sales Target Achievement: Achieve 90% of quarterly sales targets.
* Client Retention: Maintain a client retention rate of 85% or higher.
Required Skills and Qualifications
* Strong administration skills.
* Very accomplished user of Microsoft Excel, Access & Word.
* Excellent communication skills.
* Well organised with excellent time management and punctuality.
* Degree or equivalent in Design or Business or marketing advantageous.
* Capacity to work independently and as a proactive member of a professional team.
Work Experience
* Experience working in a similar environment with some relevant experience.
* Previous experience in a small business with non‐extendable deadlines.
* Ability to multitask and assist the team to ensure job completion in a "Do what needs to be done" environment.
* High work ethic and commitment to all aspects of the role and accountability to the team.
* Experience with a variety of IT packages to support business operations.
* Experience as a key member of a small design and assembly team.
* Experience working with products, which require a high degree of creativity.
* Demonstrated experience in initiating and following business systems and procedures.
Professional Development
* Upskill with knowledge of client relationships and product suppliers across the business.
* Workflow Max in its entirety with particular attention to maintaining accurate records and automating the lead nurturing process to maximise sales conversion.
* Improve time management and efficiency for sales leads/calls follow‐up and design using the Calendar.
* Scheduled posting on social media and improved quality of posts to lead to brand awareness and lead gen/sales conversion.
* Efficiency during WEPON meetings to ensure clear and prioritised action items, with deadline and responsibility from each meeting, including full clarity on action items for Racing leads.
* Efficiency and accuracy when inputting sales jobs into Workflow Max.
* Accuracy when dealing with clients to finalise stock and other details.
* Familiarisation with supplier database, stock processing ordering times and time blocking of jobs overall.
* Accuracy assembling and packing jobs and maintaining a clean workspace.
* Product/supplier and client knowledge across the business.
