We're looking for a dedicated and organised Receptionist / Administration Assistant to join our busy law firm in Sunbury, with occasional support in our Moonee Ponds Office. In this key role, you'll be the friendly face and voice of our firm, playing a vital role in our daily operations. You'll ensure our office runs smoothly, provide essential support to our legal and administrative teams, and ensure every client interaction is a positive one.
Your ability to manage diverse administrative tasks, handle client communications with professionalism, and maintain impeccable organisation will be critical to your success.
Key Responsibilities
* Client Management & Support: You'll be the first point of contact for clients, handling incoming calls and inquiries. You'll manage our lead intake process, ensuring all new enquiries are captured accurately and allocated to the right staff member.
* Administrative Support: You will provide administrative support to our lawyers and teams, including diary management, scheduling, and preparing documents.
* File and Case Management: You will support the organisation and maintenance of both physical and electronic case files, assisting to ensure all records are accurate, up-to-date, and compliant with all legal requirements.
What You'll Bring
Essential Skills & Qualifications
* Client Communication Proficiency: Proven ability to answer phones and greet clients professionally and courteously.
* Office Administration Expertise: Experience in an administrative support role, with a strong ability to manage reception duties, coordinate schedules, and maintain accurate records.
* Organisational & Time Management Skills: You'll be highly organised and capable of prioritising tasks and managing competing deadlines in a fast‑paced environment.
* Technical Proficiency: Competency with the Microsoft Office Suite (Word, Excel, Outlook) is essential, along with the ability to quickly learn new software, including legal practice management systems.
* Professional Communication: You'll have strong verbal and written communication skills and feel confident engaging with clients, colleagues, and external stakeholders.
* Attention to Detail: You will be consistently accurate in data entry, document formatting, file organisation and communications.
