Salary: $75,000 – $90,000 per annum plus 12% Superannuation. Hours: 38 hours per week. Mode: Full‐time. Location: 5/25 Perpetual Street, Truganina VIC 3029.
Experience required: Minimum 1 year in project coordination, preferably within security services.
Key Responsibilities
* Assist Project and Operations Managers in planning, coordinating, and monitoring security service projects across multiple client sites including aviation, retail and government contracts.
* Prepare, maintain and update project documentation including schedules, mobilisation plans, compliance registers, risk registers and contract documents.
* Monitor project milestones, deliverables and key performance indicators (KPIs) to ensure compliance with contractual obligations and service level agreements (SLAs).
* Coordinate project mobilisation activities for new security contracts, including workforce onboarding, licensing verification, uniform allocation, equipment deployment and site readiness.
* Liaise with internal departments including Operations, Finance, HR and Compliance to ensure alignment of project objectives and resource allocation.
* Track labour allocation, roster implementation and workforce compliance documentation to ensure regulatory and contractual requirements are met.
* Assist in budget monitoring, cost tracking and preparation of financial progress reports, including reconciliation of labour costs and variation management.
* Support procurement processes including purchase order creation, supplier coordination and tracking of security equipment and operational resources.
* Prepare client reporting packs, incident summary reports and performance data analysis for senior management and external stakeholders.
* Maintain document control systems to ensure accurate record keeping in accordance with organisational and regulatory requirements.
* Coordinate stakeholder communications between site managers, subcontractors, technicians and client representatives.
* Assist in the preparation of tender submissions and contract documentation for new security projects and service expansions.
* Identify administrative process improvements to enhance operational efficiency across multi‐site security projects.
* Support compliance audits by collating documentation relating to licensing, training certifications, insurance records and workplace safety obligations.
* Monitor project timelines and raise risks, delays or non‐compliance issues to senior management.
Qualifications
* Tertiary qualification or a graduate diploma in Business Administration, Project Management or a related field (or equivalent experience).
* Minimum 1 year experience in project coordination, preferably within security services.
* Proficiency with Microsoft Office Suite (Word, Excel, Outlook and Project) and project‐management software.
* Understanding of security industry compliance, licensing requirements and workplace health & safety regulations.
* Strong organisational and time‐management skills, with the ability to manage multiple projects simultaneously.
* Excellent communication and interpersonal skills, with experience liaising with internal teams, clients and contractors.
* High attention to detail and problem‐solving capabilities.
* Ability to work independently, take initiative and adapt to changing priorities.
* Strong analytical skills, including reporting, data tracking and KPI monitoring.
* Valid Australian driver's licence is desirable.
