We are seeking a professional, composed, and people-orientated Client Services Specialist to lead our front-of-house experience and ensure every client interaction reflects the high standards of our firm.
The Role
This role encompasses more than reception, it's about representing the Heard McEwan brand by creating a seamless experience for our clients and team alike.
You will be the face and voice of the firm, ensuring clients feel welcomed and supported.
Key Responsibilities Include
* Reception and concierge services: Greet clients with warmth and professionalism, manage client arrivals, and oversee front desk operations.
* Switchboard and phone management: Direct enquiries efficiently and manage call flow with confidence.
* Client care: Handle client enquiries across phone, email, and walk-ins, resolving or delegating where appropriate.
* Meeting room coordination: Manage bookings and ensure meeting spaces are impeccably prepared to reflect our high standards.
* Inbox and workflow management: Monitor shared email inboxes and ensure timely and appropriate responses.
* Support daily operations: Help keep the front-of-house and broader office environment running smoothly and efficiently.
* Administrative support: Assist with data entry, legal document preparation, appointment scheduling, and inbox management.
What You Bring
* A background in front-of-house, corporate reception or client service - ideally within a professional or legal environment.
* Impeccable presentation and communication skills.
* Confidence under pressure and the ability to manage competing priorities with grace.
* A proactive mindset, natural problem-solving ability, and commitment to continuous improvement.
* High attention to detail and pride in delivering polished, consistent client service.
* Strong systems and tech skills, comfortable navigating email platforms, booking systems, and internal workflows.
* A genuine enjoyment of working and interacting with people.
