The key duties of the position include The Role We are seeking to recruit an experienced Medical Administration Officer for a fantastic opportunity within the Directorate of Recruiting Health Services (DRHS) at Defence Force Recruiting (DFR). The position requires an individual with outstanding attention to detail, communication and interpersonal skills with the ability to work in a busy environment meet deadlines and prioritise work commitments. In this role, you will: Coordinate and facilitate incoming and outgoing correspondence, between medical teams, Australian Defence Force (ADF) Career centres, and other departments, including data entry onto Defence Record management System (Objective) and the DFR Medical Administrative Database (DFR MAS). Be accountable for the accurate and timely management of medical submissions including documentation, storage and retrieval. Ensure the confidentiality and security of candidate medical records by complying with privacy standards and protocols. Proactively prioritise process and respond to medical submissions, enquiries and requests. Maintain a well-developed understanding of relevant DFR medical recruitment policy frameworks, standards and procedures. Build productive working relationships with internal and external stakeholders for the administrative processing of medical submissions, including providing guidance in accordance with policy. Comprehensive administration support to the medical officers, psychologists and management, including room booking, printer maintenance, printing and filing, tidying up cabinets, ordering office stationery and preparing meeting minutes. Assist in data quality assurance activities to ensure the trustworthiness of candidate medical records. Proactively anticipate business needs and priorities and support team to respond to changes in workflow. Other duties as directed. About our Team DFR is a public-private collaboration between Defence and the Capability partners in providing recruiting services to the Australian Defence Force in accordance with standards and policies set by the Navy, Army and Air Force. Recruiting services are delivered using a mix of military, APS and contractor staff operating in a high energy, multi-vendor environment which is responsible for directly delivering capability to the Australian Defence Force. The Defence Recruiting Health Service (DRHS) team is a multidiscipline health team comprised of medical officers, psychologists and medical administrative staff. The DRHS team is directly responsible for providing direction to sixteen ADF Career Centres for candidates who have been identified as having a complex medical condition, so as to determine their medical suitability for military service. The DRHS regularly collaborate with Joint Health Command in reviewing and updating the health standards for ADF entry, matching scientific research against the ADF inherent requirements of service to ensure that the entry standards remain relevant. The team investigates and responds to representations from candidates and external stakeholders on entry health standards and procedures.
