As part of our continued growth, we are seeking an experienced and proactive Operations Manager to join our leadership team.

About the Role

The Operations Manager is responsible for overseeing the operational functions of AIBI Higher Education across all campuses, ensuring the efficient delivery of academic administration, student experience operations, facilities management, resource planning and institutional operations.

The role provides leadership and oversight across Student Experience, Academic Administration, Academic Governance Support, Facilities and Resources, and Campus Operations. Working closely with Academic, Admissions, Student Success, Marketing and Finance teams, the Operations Manager ensures operational excellence, regulatory compliance and a consistent student and staff experience across all campuses.

The role combines strategic planning with hands‐on operational management and is responsible for driving efficiencies, supporting institutional growth and ensuring the effective utilisation of resources across the organisation.

Responsibilities Leadership and Management
* Lead, mentor and manage the Student Experience Manager and Campus Management Team.
* Provide leadership and direction across operational and student administration functions.
* Drive continuous improvement initiatives across operational areas.
* Monitor operational performance and implement service improvements.
* Support the General Manager in achieving organisational objectives and strategic priorities.
* Foster a culture of accountability, collaboration and service excellence.
Academic Administration and Governance
* Oversee student records management and academic administration activities.
* Ensure accurate maintenance of student data and records within Meshed-HE.
* Oversee graduation and conferral processes nationally.
* Oversee institutional timetabling and classroom allocation processes.
* Support TCSI reporting and student data integrity activities.
* Coordinate Academic Board, Teaching and Learning Committee and other governance committees.
* Ensure compliance with institutional policies, procedures and regulatory requirements.
Student Engagement and Experience
* Provide strategic oversight of student engagement and student experience activities.
* Oversee the planning and delivery of student orientations, social events, graduation celebrations and campus engagement activities.
* Support the Student Experience Manager in developing initiatives that strengthen student belonging and engagement.
* Ensure a consistent student experience across all campuses.
* Monitor participation, engagement and satisfaction outcomes and identify opportunities for improvement.
* Work collaboratively with Marketing, Academic and Student Success teams to enhance student engagement initiatives.
Facilities and Resources Management
* Oversee campus facilities and operational resources across all campuses.
* Manage classroom allocation, utilisation and resource planning.
* Coordinate campus maintenance, repairs and operational improvements.
* Manage furniture, teaching equipment and campus infrastructure requirements.
* Oversee security arrangements and campus safety initiatives.
* Manage relationships with facilities vendors, contractors and service providers.
* Support lease‐related operational matters and campus expansion projects.
* Monitor campus utilisation and recommend improvements to efficiency and capacity.
Selection Criteria Knowledge/Experience
* Minimum five (5) years' experience in operations management, higher education administration or a related field.
* Demonstrated experience managing staff and operational functions.
* Experience supporting governance committees and senior management.
* Strong understanding of higher education operations and compliance requirements.
* Experience managing facilities, resources and operational projects.
* Understanding of TCSI reporting, student administration and academic governance processes.
Qualifications

Tertiary qualification in Business, Management, Education or a related field.

* Highly developed communication and stakeholder management skills.
* Strong analytical and problem‐solving capability.
* Demonstrated ability to manage multiple priorities across campuses.
* High level of operational planning and resource management skills.
* Proficiency in Microsoft Office Suite and business systems.
* Proficiency in Student Management Systems (e.g., Wisenet, Paradigm, Meshed), Learning Management Systems (e.g., Moodle, Blackboard, Canvas Infrastructure) and Microsoft Office Suite.
