Location: Canning Vale, WA (Perth Western Australia). Employment type: Full-time, ongoing. Salary: $80,000 to $90,000.

About Salisbury Lane Pty Ltd

Salisbury Lane Pty Ltd is a leading wholesale florist engaged in the importation, wholesale distribution, and supply of fresh cut flowers and floral products across Australia. We operate a large, fast‐paced facility supplying retail florists, event companies, supermarkets, and corporate clients throughout Western Australia.

Our business operates in a highly regulated and time‐critical environment due to the extreme perishability of our products, reliance on international supply chains, and strict biosecurity requirements imposed by the Australian Department of Agriculture, Fisheries and Forestry (DAFF). Due to sustained growth in demand, expansion of operations, and an increase in workforce numbers, we have identified a genuine and ongoing need for an Office Manager to ease pressure on the Directors.

Note: Salisbury Lane Pty Ltd employs a dedicated Human Resource Advisor. This Office Manager role does not include HR policy, employee relations, or industrial relations functions, which remain with the HR Advisor.

Position Overview

We are seeking a highly organised, compliance‐focused Office Manager to oversee office systems, DAFF biosecurity documentation, operational administration, and director support. This role is the central nerve‐centre for administrative workflow between warehousing, logistics, sales, procurement, and distribution—ensuring that time‐sensitive and regulated processes run smoothly while relieving the Directors of day‐to‐day administrative pressure.

Key Responsibilities 1. DAFF Biosecurity & Regulatory Administration (Core Focus)
* Manage and maintain all documentation required for compliance with the Department of Agriculture, Fisheries and Forestry (DAFF) relating to imported fresh flower consignments.
* Ensure accurate record‐keeping for biosecurity entry, treatment documentation, quarantine release, and audit trails.
* Act as the internal administrative point of contact for DAFF correspondence, record requests, and compliance reporting.
* Maintain office systems that support traceability from import declaration to customer dispatch, in coordination with procurement and warehouse teams.
2. Director Support & Workflow Management
* Filter and prioritise communications, scheduling, and tasks for the Directors to reduce direct operational pressure.
* Prepare reports, meeting agendas, and follow‐up actions on behalf of the Directors.
* Manage director‐level filing, expense reconciliation, and travel/event coordination as required.
3. Cross‐Departmental Operational Administration
* Coordinate daily administrative workflows between sales, procurement, warehousing, and distribution teams.
* Ensure that time‐critical documentation (e.g., delivery manifests, import entries, customer order changes) is processed without delay.
* Maintain shared calendars, facility access logs, office supplies, and basic IT/equipment coordination.
* Support customer account administration, credit applications, and basic receivables follow‐up (excluding payroll and HR functions).
4. Workforce Administrative Support (Non‐HR)
* Work alongside the HR Advisor by providing administrative assistance such as distributing induction checklists, scheduling orientation sessions, and maintaining shared office records (not employee relations or policy).
* Coordinate casual workforce availability schedules for operational teams (without determining pay, conditions, or industrial matters).
* Assist with timesheet collection and data entry for payroll preparation, with final approval and classification managed by HR Advisor and finance.
5. Time‐Critical & Seasonal Coordination
* Support operations during peak seasonal periods (Valentine's Day, Mother's Day, Christmas) by managing urgent administrative tasks, customer communications, and compliance documentation.
* Ensure that biosecurity and dispatch paperwork aligns with delivery windows and international flight arrivals.
* Act as a central point of contact for administrative queries from warehouse, logistics, and sales teams during high‐volume periods.
6. Workplace Health & Safety (WHS) Administration
* Maintain registers for WHS compliance, including incident report filing, first aid kit checks, and training attendance records (policy and investigation remain with HR Advisor/OHS officer).
* Coordinate with warehouse management to ensure administrative records for safety meetings and drills are up to date.
Key Interfaces
* Internal: Directors, DAFF (Department of Agriculture, Fisheries and Forestry), HR Advisor (no duplication), Customs brokers / freight forwarders, Warehouse & Logistics teams, External payroll provider (data handover only), Sales & Procurement.
* External: Customers (credit/account admin), Distribution drivers, Suppliers (import documentation).
Selection Criteria – Essential
* Proven experience as an Office Manager, Administration Coordinator, or Compliance Administrator within a perishable goods, logistics, import/export, or wholesale distribution environment (floral, fresh produce, food, or similar).
* Demonstrated experience with regulated documentation and government compliance regimes (e.g., DAFF, AQIS, customs, biosecurity, or similar).
* Strong organisational skills with the ability to manage competing priorities in a fast‐paced, time‐sensitive, and seasonally volatile environment.
* Proficiency with office productivity software (MS Office, Google Workspace) and ability to learn industry‐specific ERP/inventory systems.
* Excellent communication and coordination skills across diverse teams (warehousing, sales, drivers, external agencies).
Selection Criteria – Desirable
* Previous experience in the fresh flower, horticulture, or perishable logistics industry.
* Familiarity with import documentation, phytosanitary certificates, or customs clearance processes.
* Experience using Xero, MYOB, or similar accounting software for basic receivables/expenses.
* Understanding of Western Australian WHS administrative requirements for warehouse environments.
