Position Summary
The Client Services Assistant's role is critical to ensuring the delivery of high-quality outcomes for clients. The role includes supporting colleagues to achieve deadlines, finalising outgoing items, dealing with external and internal stakeholders, delivering technically correct information, following and offering feedback on procedures or systems and communicating professionally to all levels of staff. The position also forms part of the relief and support structure that is necessary for the overall completion of administrative duties within the firm.
Key Responsibilities
* Formatting documents such as client letters, proposals and collations, paying high attention to detail on all outgoing items and improving internal document quality.
* Preparing correspondence required, including business letters, invoices, reports, articles and proposals, in accordance with established templates.
* Coordinating the Out‐For‐Signature and lodgment process (e.g., ATO).
* Preparing electronic or physical collations in a timely, organised and efficient manner, with a view to reducing physical material use and moving towards a more electronic environment.
* Updating, archiving and maintaining accurate electronic data within various software platforms, adhering to current procedures and continually offering constructive feedback.
* Communicating with the ATO regarding basic client matters (e.g., setting up payment arrangements, obtaining remissions, lodging due‐date extensions).
* Providing support to Reception by answering incoming phone calls, taking messages, answering queries, welcoming guests and maintaining meeting rooms, while maintaining a professional and welcoming demeanour with internal and external stakeholders.
* Providing relief cover for general administrative duties necessary for smooth office operation, including but not limited to upkeep of kitchen and meeting rooms, reception support and providing administrative cover elsewhere when required.

Qualifications & Experience
* Demonstrated administrative experience within a professional services firm, preferably in a public practice environment.
* Experience with XPM preferred.
* Extensive experience with Microsoft Suite.
