Role Overview

As an International & Domestic Travel Consultant, you will manage all aspects of group travel for incentive programs and corporate events. This includes building registration sites, coordinating flights, personalised itineraries, and handling travel‐related financial management. You will work closely with internal teams, suppliers, clients and travellers to ensure a flawless travel experience from start to finish.

Key Responsibilities
* Registration Management: Build and maintain event registration websites using EventsAir. Experience is required.
* Manage participant registration, data collection and reporting.
* Provide customer support to travellers and troubleshoot registration issues.
* Group Flight & Travel Coordination: manage group flight bookings and liaise with airlines for negotiated rates.
* Handle pre‐ and post‐leisure travel arrangements for attendees.
* Ensure all travel policies, visa requirements and compliance measures are met.
* Handling small groups that do not require an onsite event manager. This involves working with wholesalers, sports companies, hotels, airlines and logistics of movement of people including food and beverage requirements on the ground.
* EVT Incentive Marketing has a travel agency licence and works on Sabre. You will be responsible for complying with all agency rules and regulations.
* Create, write and customise detailed travel itineraries for events.
* Build and manage event travel apps to provide attendees with real‐time updates.
* Coordinate transportation, accommodation and special requests.
* Track and manage travel budgets, invoices and financial reporting.
* Reconcile travel expenses and liaise with the finance team and the Travel and Events Director for accurate cost tracking.
* Generate reports for stakeholders on travel logistics, expenses and participant data.
* Be available to support delegations during odd‐weekend trips, such as assisting with missed flights or cancellations.
What We're Looking For
* Experience: Minimum 5 years in travel coordination, event planning or a related field. Experience in incentive travel or group bookings is a plus.
* Technical Skills: Proficiency in EventsAir or a similar registration platform, experience with Sabre travel booking systems and knowledge of event apps.
* Detail‐Oriented: Strong organisational skills with the ability to multitask and meet deadlines.
* Timeline Management: Ability to create and maintain schedules, ensuring all travel and event components stay on track.
* Communication: Excellent verbal and written communication skills for client and supplier interactions.
* Problem‐Solving: Ability to handle travel disruptions, last‐minute changes and unexpected challenges with professionalism.
* Financial Acumen: Comfortable with budget tracking, invoicing and financial reporting.

While the days are busy and we do expect a high level of performance, sometimes that means extra hours are required to get the work done especially in the Incentive travel and event space. EVT has flexibility around work from home. We have an office on George Street and the team works in a hybrid model of WFH and office with three days in the office per week and two days at home. As a new team member, there will be a period spent in the office five days per week for training and then transition to the hybrid model.
