Litton Andrews is delighted to partner with a highly regarded Gynaecology/Oncology specialist practice in Spring Hill to recruit an experienced and personable Medical Receptionist/Secretary. This is a permanent part‐time opportunity offering 26 hours per week, working closely alongside a supportive Practice Manager within a professional and patient‐focused specialist environment.
The rostered hours for this position are Wednesday (8:00am – 7:30pm), Thursday (8:00am – 4:30pm) and Friday (8:00am – 4:00pm), aligned with the clinic schedule and fixed as part of the role.
In this varied and rewarding position, you will assist in coordinating a busy full‐day consulting clinic on Wednesdays working collaboratively with the Practice Manager to ensure a seamless patient experience. Thursdays and Fridays will focus on administrative coordination for the week ahead, including theatre bookings and surgical preparation.
While previous experience within a specialist medical practice will be highly regarded, the team is committed to providing thorough training and onboarding for the right candidate who brings a positive attitude, strong organisational skills, and a genuine passion for patient care.
Key duties and responsibilities (but not limited to)
* Managing the front desk reception, meet and greet of patients visiting the practice, responding to all correspondence via phone and email, managing patient enquiries and triaging patients
* Preparing and running patient clinics, booking appointments for new referrals and follow‐ups, managing cancellations and rescheduled appointments, processing patient billing and receipting following consultation
* Preparing and presenting quotes for theatre procedures to patients, ensuring all necessary paperwork is completed prior to their procedure
* Booking theatre procedures, sending theatre lists to hospitals and anaesthetic practices, and booking theatre equipment as required
* Assisting the Surgeon and Practice Manager with any general administrative and secretarial tasks
Key qualifications and attributes
* Previous experience working within a specialist medical practice environment (ideally 12+ months or more) will be highly regarded
* Sound knowledge of Medicare, DVA and Private Health Fund billing processes
* Strong organisational and time management skills, with the ability to prioritise effectively
* A professional, warm and approachable communication style with a genuine commitment to patient care
* The ability to confidently manage competing priorities within a fast‐paced specialist setting
* Comfortable using medical software systems, with Gentu experience viewed favourably
* A reliable and proactive approach, with the ability to work independently and contribute positively to the wider team
Remuneration
A competitive hourly rate is on offer to the successful candidate, negotiable based on experience and skill set. The practice will also provide you with a uniform which is to be worn during patient‐facing days, as well as access to a secure undercover car park on Thursdays and Fridays.
