Primary objective
To provide high-level administrative and secretarial support to the Executive Director of Teaching and Learning Services.
Context statement
Teaching and Learning Services (TLS) provides evidence-based differentiated services and support to preschools and schools to maximise
outcomes for Territory children and young people. Our services encompass quality teaching and learning, national and systemic
assessment, transition to boarding school support and policy coordination. TLS also plays a strategic role in implementing government
priorities, offering expert advice to the Education Minister and the department’s senior executives. We enhance our work by actively
engaging with a broad range of stakeholders to ensure best outcomes for all of our clients.
Key duties and responsibilities
1. Provide high level executive administrative and secretarial support to the division head and other senior executives and managers
including processing all correspondence, maintaining records, initiating follow-up action to ensure deadlines are met, filing, handling
telephone inquiries and visitors, scheduling appointments and meetings, compiling and distributing meeting papers and making travel
arrangements.
2. Undertake research projects.
3. Research and prepare high level confidential and sensitive briefings, submissions, reports and correspondence on a range of strategic
priorities, operational policy and procedures.
4. Liaise effectively and discreetly with all levels of staff within the department and with external stakeholders.
5. Build and sustain collaborative relationships and with a variety of stakeholders including the Chief Executive, senior departmental staff
members, the Minister’s Office, other government agencies and external stakeholders.
Selection criteria
Essential
1. Experience working for a senior executive demonstrating developed interpersonal, oral, and written communication skills, and the
ability to communicate effectively at all levels including with the senior executives.
2. Proven capability to operate effectively in a politically sensitive workplace while maintaining high standards of professionalism,
ethics, departmental values and accountability.
3. Knowledge and understanding of government and ministerial protocols and procedures including standard formatting of
correspondence.
4. Demonstrated organisational and time management skills with the capacity to prioritise and meet competing deadlines and work under
pressure while maintaining quality of end product.
5. Proven ability to develop, maintain, apply and provide advice on procedures for administrative processes such as procurement, credit
card management, travel arrangements and records management.
6. Extensive knowledge in Microsoft Office Suite.
7. Ability to work effectively in an agile team, demonstrating the ability to achieve outcomes using problem solving and influencing skills.
8. Ability to implement robust monitoring and evaluation systems to identify areas for continuing improvement.
Desirable
1. Knowledge of education systems and the strategic objectives of the Department of Education and Northern Territory Government.
2. Knowledge of Territory Records Manager
