About the Role
We are seeking a highly organised and proactive Administration Officer to provide essential administrative support to our business. This role is central to ensuring an efficient, well-coordinated and professional reception and administrative service. The successful candidate will maintain high-quality communication, uphold excellent office standards, and support asset and property maintenance activities across the organisation.
Key Responsibilities
Human Resources Support
Arrange interviews between candidates and interviewers.
Coordinate post-interview debrief meetings to support candidate selection.
Assist with onboarding activities, including preparing new employee documentation, scheduling orientations, and ensuring access to required resources.
Distribute company policies and updates to staff.
Assist in scheduling training sessions, tracking attendance, and maintaining training records.
Office Administration & Reception
Provide courteous, professional communication with participants, families, and stakeholders via phone and email.
Answer incoming calls, redirect queries appropriately, and relay messages accurately.
Monitor and replenish office supplies, including stationery and merchandise.
Maintain stock levels for the staff kitchen (tea, coffee, snacks, etc.).
Coordinate meal deliveries or collections as required.
Liaise with cleaning services to ensure a clean, safe, and welcoming office environment.
Scan, file, and upload documents to SharePoint.
Create and modify organisational documents as needed.
Property & Office Maintenance
Schedule vehicle maintenance and coordinate with relevant team leads.
Maintain servicing schedules for fire extinguishers and other essential equipment.
Staff Event Support
Assist with planning and managing staff events to ensure high-quality experiences.
Take and file minutes during staff events and meetings.
Reporting & Communication
Prepare regular reports on administrative activities for senior management.
Attend team and management meetings as part of routine responsibilities.
Promote the positive image of the organisation through high-quality service and presentation.
Other Duties
Report all safety incidents, hazards, and near misses using the organisational platform.
Maintain a safe working environment and uphold WHS guidelines.
Contribute to continuous improvement initiatives, recording ideas in the improvement register.
Maintain confidentiality of all organisational records.
Perform additional office management and documentation tasks as required.
