We are seeking a highly detail-oriented Operations Coordinator, fluent in both English and Spanish, with proven experience in billing processes and customer service within warehouse or logistics environments. This role is essential to ensure that customer billing are accurately and properly authorized, maintain thorough documentation via email, follow up on key pending items, and deliver excellent service to both internal and external clients.
Key Responsibilities:
• Prepare and follow up on billing reports, ensuring that costs are assigned to the correct client with prior documented authorization.
• Document all billing processes and approvals exclusively via email.
• Provide professional and timely customer service, resolving inquiries, complaints, or requests with a customer satisfaction focus.
• Support multiple accounts or clients, coordinating logistical and administrative processes.
• Work closely with the warehouse operations team to validate movements and ensure proper application of charges.
• Create, update, and analyze reports in Excel (using filters, formulas, pivot tables, data validation).
• Monitor email constantly and provide timely follow-up to urgent and high-priority matters.
• Assist with general administrative tasks within the distribution center, maintaining order and control of internal processes.
• Ensure that all documentation related to charges, movements, and services is properly filed and readily available for audits or reviews.
• Manage purchasing requisitions, ensuring they are properly justified, authorized, and processed in accordance with internal guidelines.
Requirements:
• Bilingual (English and Spanish) – required, both written and spoken.
• Minimum 1 year of experience in a warehouse/logistics environment with administrative focus, billing, and customer service.
• Experience handling billing for multiple accounts/clients, including authorizations and validations.
• Proficient in Microsoft Office, especially Excel (intermediate to advanced level).
• Strong organizational skills, attention to detail, and ability to follow up.
• Excellent written and verbal communication skills and the ability to interact with clients in a professional manner.
• Proactive, responsible, and able to work under pressure and meet deadlines.
• Experience with inventory control systems and administrative documentation.
• Ability to work both independently and collaboratively, with a results-oriented mindset.
